About The Position

SAG-AFTRA is seeking a Legal Assistant to support a team of legal professionals. This role involves performing a variety of legal and administrative support duties that contribute to the department’s goals and objectives and advance the mission of SAG-AFTRA. The Legal Assistant will handle confidential matters with discretion and professionalism, serving as a key support for legal proceedings and administrative functions within the department.

Requirements

  • Must deal with confidential matters in a professional and discreet manner.
  • Able to effectively communicate in English through oral and written communication methods.
  • Able to use Microsoft and Google applications and other internal information management systems (GSuite/Google Docs/Google Sheets/Google Slides/Gmail/Time Matters/Oracle/Documentum/Cara).
  • Detail oriented.
  • Able to organize, prioritize, and coordinate multiple tasks under daily deadlines.
  • Able to professionally field calls from/deal with irate, hostile, and/or difficult personalities.
  • Capable of taking direction from more than one supervisor.
  • Superlative interpersonal skills: high degree of patience and tact.
  • Must be able to cultivate respectful, strategic and collaborative relationships with people from diverse backgrounds, both internally and externally.
  • Hold yourself and others accountable for a high level of performance and integrity.
  • Must be able to work in a challenging environment where constructive feedback from others is encouraged.
  • Must maintain regular and acceptable attendance.
  • Must be available and willing to work extended hours (and/or overtime for applicable non-exempt positions) per day or per week, including weekends and holidays, as SAG-AFTRA determines is necessary to meet its business needs.
  • Must be available and willing to travel to such locations and with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs.
  • High school diploma or equivalent.
  • Minimum of 4 years’ relevant experience in a legal support capacity.
  • Pass typing test with 45 WPM.

Responsibilities

  • Accept service of and prepare responses to subpoenas, including evaluation, research, and information retrieval.
  • Prepare and serve arbitration demands and other legal filings.
  • Prepare exhibits for arbitration.
  • Prepare, distribute, and archive correspondence, including court and arbitration pleadings.
  • Develop reports and perform research for supervisors to support legal proceedings.
  • Maintain client-privilege level department files (e.g., member discipline, government affairs, employee cases).
  • Serve as a first-level interface for department clientele, exercising discretion and confidentiality.
  • Screen visitors and telephone calls.
  • Prepare, handle, and track mass mailings of checks and correspondence.
  • Receive and distribute department mail.
  • Serve as backup to other members of the legal support team.
  • Receive and return phone calls as required.
  • Coordinate travel arrangements (may be required).
  • Attend, record, and compose minutes for meetings (may be required).
  • Schedule meetings and arrange conference calls (may be required).
  • Prepare expense reports (may be required).
  • Transcribe or take dictation (if requested).
  • Generate correspondence (if requested).
  • Perform other duties as assigned or as the situation dictates.
