About The Position

We need an experienced Legal Assistant at the U.S. Attorney's Office, Eastern District of Kentucky (USAO-EDKY). The USAO-EDKY Victim Assistance Program, part of the Community Relations Unit, is responsible for affording rights and providing services to victims of federal crime pursuant to the Crime Victims' Rights Act and other federal law. In this role, you will support the Victim Assistance Specialist by providing a wide range of clerical support functions primarily in the areas of victim notification, file maintenance, recordkeeping, and general administrative assistance. Requirements

  • Strong communication and interpersonal skills with a courteous and tactful demeanor
  • Ability to enter, retrieve, analyze, and manipulate data across multiple databases and software platforms, including the Victim Notification System and Microsoft Word.
  • Ability to prepare, format, and correct reports, correspondence, and management documents with accuracy and attention to detail.
  • Ability to establish and maintain case files, track dispositions, and provide administrative information and assistance to internal staff and external agencies and organizations.
  • Must be US Citizen
  • Must pass applicable DOJ background investigation for this position

Responsibilities

  • Inputs data into applicable databases and produces notification documents using the Victim Notification System (VNS); updates victim contact information and runs reports as needed.
  • Prepares, meters, and delivers victim notification letters via outgoing mail.
  • Uses databases to search for missing victim contacts and secures and files necessary documentation related to those searches.
  • Maintains a record of active victim cases, including tracking all hearings and trials, and maintains a calendar system to keep Victim Assistance Staff informed of ongoing case status.
  • Sorts, arranges, and files material in alphabetical, numerical, or chronological order; prepares cross references and participates in file close-out as required.
  • Secures statistical and other information from files and inputs it into appropriate databases or spreadsheets.
  • Performs a variety of recordkeeping, reporting, and informational duties in support of the Victim Assistance Specialist; compiles, maintains, and updates data, lists, and reports.
  • Processes recurring documents with responsibility for checking actions for errors or omissions and determining subsequent processing requirements.
  • Utilizes software applications including the Victim Notification System and Microsoft Word to perform assignments.
  • Operates copying and printing equipment; collates and staples material as necessary.
  • Answers the telephone, refers callers to appropriate staff, and takes messages as needed; greets office visitors and provides information or assistance to the extent authorized.
  • Reports all victim-related contacts in writing to the Victim Assistance Specialist.
  • Receives and routes incoming mail for the Victim Assistance Program to the Victim Assistance Specialist for review.
  • Stocks forms and office supplies and notifies appropriate personnel when reorder levels are reached.
  • Prepares and submits weekly activity reports detailing daily tasks completed and program-related activities.
