About The Position

The Legal Assistant provides clerical and administrative support to lawyers. The position requires strong practice management and client service skills, the ability to manage competing priorities effectively, and a high degree of confidentiality and discretion. This is a 12‑month maternity leave contract position.

Requirements

  • Legal Administrative Assistant certificate from an accredited post-secondary institution
  • 1–5 years of law firm experience, preferably in business law
  • Proficiency with Microsoft Office 365 (including Teams and SharePoint) and legal software such as iManage, Adobe, DocuSign, and Chrome River
  • Strong understanding of business and legal terminology
  • Ability to work independently with a high degree of accountability and minimal supervision
  • Proven capacity to work under pressure, manage multiple priorities, and multitask in a fast-paced environment
  • Exceptional written and verbal communication skills, with meticulous attention to detail
  • Strong team player with the ability to build and maintain positive working relationships with staff and lawyers

Responsibilities

  • Perform administrative tasks, such as email and calendar management, meeting coordination, processing incoming and outgoing mail, preparing expense reports, handling invoices and disbursements.
  • Open, maintain, and close files in accordance with firm procedures.
  • Maintain an organized file management and bring-forward system.
  • Prepare, format, and proofread a variety of legal documents, including correspondence, contracts, and corporate documents.
  • Ensure all physical and electronic filing is organized and updated regularly.
  • Communicate professionally with clients, opposing counsel, and external stakeholders.
  • Provide support to other members of the group as required.
  • Other duties, as assigned.
