About The Position

The Legal Assistant provides high-level administrative and legal support to attorneys and paralegals while maintaining strict confidentiality and delivering exceptional client service. The ideal candidate is highly organized, able to manage multiple priorities, and has experience supporting residential and commercial real estate transactions.

Requirements

  • A minimum of 5 years of legal assistant experience, preferably in a mid-sized or large law firm
  • Strong knowledge of legal terminology, documentation, and law office procedures
  • Exceptional proofreading, grammar, spelling, and written communication skills
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams
  • Excellent organizational and time management skills with the ability to manage multiple priorities and deadlines
  • Strong interpersonal and communication skills with a client-focused approach
  • Ability to work independently while collaborating effectively with attorneys and support staff

Nice To Haves

  • Experience supporting residential and commercial real estate transactions is highly preferred
  • Experience with legal document management and practice management software is preferred
  • Typing proficiency of approximately 80 words per minute is preferred

Responsibilities

  • Provide confidential administrative and legal support to attorneys and paralegals.
  • Prepare, edit, proofread, and format legal documents, contracts, correspondence, pleadings, and other legal materials.
  • Assist with residential and commercial real estate transactions from contract through closing.
  • Prepare, review, and organize closing documents.
  • Coordinate with lenders, title companies, real estate agents, clients, and other parties involved in transactions.
  • Manage attorney calendars, deadlines, appointments, meetings, and conference room scheduling.
  • Organize and maintain electronic and physical client files.
  • Open new client and matter files while ensuring proper conflict procedures are followed.
  • Conduct title searches and review title commitments when applicable.
  • Process attorney time entries, expense reports, and invoices.
  • Arrange business travel and coordinate logistics as needed.
  • Handle incoming calls and correspondence with professionalism and excellent client service.
  • Draft routine legal correspondence, memoranda, and other documentation.
  • Collaborate with attorneys and administrative departments, including billing, records, marketing, reception, and other support teams.
  • Assist with additional administrative projects and overflow work as needed.
