About The Position

This role provides legal administrative support to two lawyers and requires a highly responsive, organized and proactive approach to managing day-to-day legal and file-related activities.

Requirements

  • Proficiency with Microsoft Office and standard legal office technology, including document management and word processing tools.

Nice To Haves

  • Diploma in Legal Assistant or Law Clerk studies is considered an asset; equivalent combination of education, training and relevant litigation experience will also be considered.
  • Detailed knowledge of the Rules of Civil Procedure and familiarity with litigation processes, court forms and filing requirements is preferred.
  • Strong ability to proofread, edit and format legal documents with a high degree of accuracy and attention to detail.

Responsibilities

  • Prepares, formats and finalizes a broad range of legal documents including correspondence, pleadings, motion materials, affidavits, factums, briefs, and other litigation documents in accordance with court, tribunal and internal requirements.
  • Proofreads and edits materials for accuracy, grammar, punctuation, formatting and completeness.
  • Prepares and reviews documents in accordance with file strategy and project objectives, and supports lawyers and law clerks with document collection, organization, follow-up and procedural research as required.
  • Manages Lawyer’s calendar and litigation schedule, including coordinating discoveries, mediations, hearings, motions, examinations, meetings and other appearances, and proactively resolves scheduling conflicts within office standards and guidelines.
  • Monitors limitation periods, court deadlines, filing requirements and service obligations, and assists in ensuring materials are prepared, served and filed within applicable timelines.
  • Responds to a wide variety of telephone and email inquiries based on knowledge of files, and liaises with clients, opposing counsel, court offices, experts, witnesses, vendors and internal business partners using sound judgment and discretion.
  • Establishes, maintains, organizes and updates physical and electronic files, including pleadings, briefs, correspondence, productions, undertakings, diary systems and bring-forward reminders to support effective file management.
  • Independently manages and maintains accurate, up-to-date file information within the office’s case management software, ensuring tasks are completed in accordance with established office standards and processes.
  • Reviews, assesses and processes file-related payment and expense requests, including coordinating submissions and follow-up in accordance with office standards, internal processes and file requirements.
  • Uses knowledge of the Rules of Civil Procedure and court processes to assist with procedural steps, document preparation and file progression, escalating issues requiring legal direction as appropriate.
  • Provides guidance, training and day-to-day support to legal assistants and other office personnel, and may coordinate workflow, review completed work, and support onboarding and development.
  • Exercises initiative to identify opportunities to improve administrative processes, develop and maintain office precedents, and support efficient workflow management within the legal team.
  • Arranges medical exams.
  • Reception relief.
  • Maintains lists of witnesses, Subpoenas, fees, etc.
  • Participates in arranging lawyer’s files for easy access during trials.
  • Informs witnesses of scheduled court appearances.
  • Maintains Law Library.
  • Performs other miscellaneous duties as may be assigned from time to time.
