About The Position

The Legal Administrator provides comprehensive administrative and litigation support to a minimum of three attorneys within the Securities Department – San Francisco Office. This role supports case teams composed of attorneys and paralegals through document preparation, scheduling, filing support, research coordination, and office operations. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment. We are open to hiring either a full-time or part-time employee for this position. We are willing to work with the right candidate to determine a schedule that best meets both the firm's needs and the candidate's availability.

Requirements

  • Proficiency in Microsoft 365, DocuSign and Adobe Acrobat.
  • Strong attention to detail, particularly regarding legal documents, filings, and correspondence.
  • Ability to edit and proofread for grammar, punctuation, and formatting.
  • Strong organizational skills and ability to manage multiple tasks with minimal supervision.
  • Excellent verbal and written communication skills for interaction with attorneys, staff, and external contacts.
  • Ability to work effectively in a team-oriented environment.
  • Ability to maintain composure and professionalism under pressure or in difficult situations.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Strong initiative and motivation, with interest in improving systems and processes.
  • Minimum of 1–3 years of administrative experience required.

Nice To Haves

  • Familiarity with Lexis and Westlaw preferred.
  • Knowledge of federal court rules and deadlines preferred but not required.
  • Bachelor's degree preferred.
  • Experience in a legal administrative role strongly preferred.

Responsibilities

  • Prepare, edit, format, and organize documents generated during complex litigation.
  • Assist in preparing and filing legal documents, including pleadings, briefs, correspondence, and attorney memoranda.
  • Interface with attorneys, paralegals, and opposing counsel regarding case-related matters.
  • Review, proofread, and check correspondence and legal documents for accuracy and timeliness.
  • Organize investigative materials, discovery, hearing materials, correspondence, and case files.
  • Maintain and organize subscription updates for legal reference guides; oversee upkeep of the legal library.
  • Provide administrative and word-processing assistance to large litigation teams as needed.
  • Schedule and coordinate conference rooms, office services, and interdepartmental resources for meetings and depositions.
  • Manage and maintain attorney calendars; coordinate meetings and ensure accurate and timely entries.
  • Maintain the department calendar, including PTO tracking and important departmental events.
  • Create, update, and distribute weekly Contract and Staff Attorney Case Lists; track hours and support assignment coordination; gather and relay feedback to Partners/HR.
  • Track monthly attorney expenses and maintain receipts for accounting.
  • Monitor attorney CLE requirements, bar registrations, and renewals.
  • Create PowerPoint presentations for court use and Excel spreadsheets for internal reporting.
  • Coordinate and schedule attorney travel with the travel department.
  • Enter and track case time in Carpe Diem; proactively follow up regarding time entry gaps.
  • Maintain a master chart of the administrative support structure.
  • Serve as liaison to the Radnor Office/ IT department regarding network issues, phones, and system updates.
  • Oversee office needs, including supply procurement, vendor coordination, mail processing, and building management communication.
  • Plan and organize office and department social functions.
