About The Position

Dentons US LLP is currently recruiting for a Legal Administrative Assistant for our New York office providing support to our Intellectual Property & Technology Practice Group. This position will provide legal administrative support to 2 partners and up to 3 associates in a highly collaborative working environment. This is a hybrid position requiring office flexibility; generally 3 days in office, 2 days remote.

Requirements

  • Bachelor’s degree is preferred with a minimum of 5 years’ C-Suite executive-level administrative experience, coupled with at least 5 years’ legal secretarial experience within a mid-to-large law firm.
  • General trademark and IP litigation experience preferred.
  • Exceptional organizational skills, work independently, strong attention to detail and follow up capabilities, ability to prioritize and multi-task.
  • Ability to work in a high-volume environment.
  • Strong interpersonal and communication (oral and written) skills.
  • Strong Knowledge of Excel
  • Advanced knowledge of MS Word, Outlook, Teams, 3E, Chrome River, Adobe PDF; must exhibit strong ability to learn and quickly become proficient in new computer software programs.
  • Ability to prioritize and handle ever-changing priorities.
  • Ability to work with minimal supervision, be a team player and be committed to providing a high level of client service.
  • Flexibility for overtime.
  • Flexibility regarding which days are in-the-office and work-from-home.

Nice To Haves

  • General trademark and IP litigation experience preferred.

Responsibilities

  • Responsible for administrative tasks including, but not limited to, document creation, editing and preparation of letters, time entry, expense reimbursement, coordinate telephone/video calls domestically and internationally, travel arrangements, and calendar invites.
  • Billing – strong background in financial responsibilities such as reviewing pro formas, prepare accrual spreadsheets and send to clients, prepare cover letters on client invoices, follow up with vendors domestically and internationally on invoice matters.
  • Maintain attorney calendar and coordinate attendance to conference calls and meetings.
  • Maintain lawyers’ contacts lists in Outlook and InterAction.
  • Handle confidential information as necessary.
  • These duties may be ongoing or ad hoc in nature.
  • Other duties may be assigned to fully meet the requirements of the position.
