About The Position

Performs intermediate/advanced administrative, legal support, and customer service duties for the Family Law Information Center (FLIC). Assists self-represented litigants with procedural information, document preparation support, appointment scheduling, case-related administrative processes, and general office operations. Provides assistance to the public while maintaining confidentiality and compliance with court procedures.

Requirements

  • High school diploma or GED required
  • Three (3) to five (5) years of experience as a legal assistant, paralegal, or in a related legal support role required.
  • Customer service experience required.
  • Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered.
  • Family law procedures and court filing requirements.
  • Legal terminology, document preparation, formatting, and filing practices.
  • Pleading sequences, legal document workflows, and supporting documentation requirements.
  • General office practices, procedures, equipment, and administrative operations.
  • Confidentiality requirements and professional standards applicable to legal environments.
  • Preparing and reviewing domestic relations pleading, motions, orders, child support worksheets, and related documents.
  • Using case management systems and office technology, including Microsoft 365 applications (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, scanners, copiers, and telephone systems.
  • Maintaining detailed records and collecting statistical data.
  • Proofreading, data entry, and document management.
  • Communicate professionally and effectively with the public, attorneys, court staff, and coworkers.
  • Assist individuals experiencing stressful and emotionally sensitive family law matters with professionalism, patience, and discretion.
  • Provide services to individuals from diverse backgrounds in an impartial and respectful manner.
  • Handle confidential and sensitive information with sound judgment and discretion.
  • Prepare routine correspondence and complete administrative tasks independently and accurately.
  • Type accurately at 60–70 words per minute.
  • Operate standard office equipment and software efficiently.
  • Organize, prioritize, and manage multiple assignments while meeting deadlines.
  • Remain in a stationary position for extended periods while operating a computer and standard office equipment, including telephones, printers, scanners, calculators, and copiers.
  • Move throughout the office and occasionally transport items weighing up to 10 pounds.
  • Analyze information, exercise sound judgment, maintain concentration, manage multiple priorities, meet deadlines, maintain organization, adapt to changing circumstances, and handle stressful situations while interacting with the public.
  • Communicate effectively in both verbal and written forms and demonstrate hand-eye coordination and fine motor skills necessary to operate office equipment and technology.

Nice To Haves

  • Associate's degree or bachelor's degree preferred.
  • Notary Public certification preferred.
  • ABA Certified Paralegal certification preferred.
  • Bilingual proficiency in English and Spanish preferred.

Responsibilities

  • Responds to telephone calls, emails, and in-person inquiries from the public, providing procedural information and directing individuals to appropriate resources when necessary.
  • Coordinates with departmental staff to ensure efficient workflow and adequate office coverage, including front desk support, delivery and retrieval of court documents, and assistance to other legal support staff.
  • Explains filing requirements, court procedures, and mandatory domestic relations processes, including parenting class and mediation requirements.
  • Assists with the submission and processing of litigant motions, pleadings, and other court documents, as authorized and directed by the Director.
  • Assists with intake scheduling and review for program’s financial eligibility and qualification process.
  • Schedules appointments and follow-up consultations for litigants as appropriate.
  • Maintains accurate records of calls, appointments, case activity, and customer interactions using case management software.
  • Assists in the development, maintenance, and revision of procedural checklists, forms, templates, routing documents, and operational materials.
  • Orders office supplies and maintains and organizes inventory of current program forms, ensuring adequate supplies are readily accessible for internal staff and public use.
  • Collaborates with FLIC partner attorneys and court personnel to ensure effective service delivery for self-represented litigants.
  • Assists self-represented litigants with electronic filing (e-filing) procedures as needed.
  • Reviews and assists self-represented litigants with their completion of domestic relations legal forms, including divorce and legitimation pleadings, ensuring forms are complete and properly organized, as authorized and directed by the Director. May copy and notarize documents as needed.
  • Prepares legal forms, pleadings, and related documentation for qualifying pro se litigants, as authorized and directed by the Director.
  • Performs other related duties as assigned.
  • Maintains regular and dependable attendance.
