About The Position

The Legal Administrative Assistant will be responsible for a wide range of administrative tasks to support attorneys and clients. This role involves managing schedules, preparing legal documents, communicating with clients and courts, and maintaining organized physical and electronic files. The ideal candidate will be highly organized, detail-oriented, and proficient in legal software and procedures.

Requirements

  • Bachelor’s degree or equivalent
  • 3+ years of experience in legal
  • Highly organized with ability to juggle multiple tasks in a fast-paced environment
  • Ability to complete tasks/projects efficiently and with exceptional attention to detail
  • Proficiency in Microsoft Office Suite, Adobe Acrobat, Excel, with the ability to quickly learn new software
  • Ability to fluently navigate various electronic databases and document management systems
  • Excellent verbal and written communication skills
  • Strong research skills and proficiency in using various research tools, including Westlaw, PACER, and other court-related websites
  • Ability to work well independently as well as effectively within a team
  • General understanding of litigation procedures is required
  • Applicable knowledge of motions, discovery, evidence, litigation documentation, court rules and procedures, practices is ideal
  • The position requires constant communication (via phone, email, and in person) with clients, attorneys, and courts.
  • Quick turnaround expectation when communicating with attorneys – timely responses and acknowledgement of tasks.
  • Available and reachable at all times.
  • Strong production skills with ability to produce accurate work product when formatting documents, inputting data, editing, copying, scanning, and transmitting text, data, and graphics.

Nice To Haves

  • Prior experience with commercial litigation and/or business litigation/transactional support is a plus
  • Working knowledge of GA courts rules and procedures and Federal Court rules and procedures is a plus
  • Previous support throughout all phases of discovery, including document review, production and depositions.
  • Experience with electronic discovery platforms is a plus

Responsibilities

  • Scheduling client meetings and managing calendars for important dates, court notices, and deadlines.
  • Opening new client files and drafting correspondence.
  • Managing all administrative stages of client matters from initial intake through document preparation, final documents, client follow-up, and coordination of billing.
  • Regular client and court telephone and email communication.
  • Managing incoming and outgoing mailing needs (USPS, Certified, FedEx).
  • Scanning, copying, and organizing legal documents.
  • Completing check requests, attorney reimbursement forms, deposit requests, and credit card reconciliation.
  • Performing document production tasks, including collection, hosting, review, redaction, bates-stamping, duplicating, and indexing.
  • Creating and organizing materials for hearings, such as casebooks and briefing binders.
  • Assisting with the preparation and filing/serving of court documents by mail or electronically via File & ServeXpress and PACER CM/ECF.
  • Preparing general correspondence, including composing enclosure letters and memos.
  • Witnessing and notarizing documents.
  • Organizing and safely handling client personal documents, financial asset information, and original documents.
  • Maintaining and organizing physical files and e-files in NetDocuments on a daily basis.
  • Understanding and abiding by attorney subfolder setup and correct document naming protocols.
  • Managing attorney credit card reconciliation on a weekly basis.
  • Working with the Accounting team to pull invoices, review trust and payment history, and outstanding balances.
  • Scanning physical file records to SharePoint or NetDocuments.
