About The Position

We are looking for a Legal Administrative Assistant to support our successful and ever-growing legal team. This role involves managing claims, handling documentation, preparing reports, and providing litigation support within a fast-paced, team-oriented environment.

Requirements

  • 3-7 years of related administration experience
  • Must be extremely organized and detail oriented
  • Ability to multi-task in a fast-paced team-oriented environment
  • Have excellent communication and customer service skills

  • Excellent computer skills, must be proficient in Microsoft Word and Excel

Responsibilities

  • Manage the claims-opening and claims-closing process in CounselLink, ensuring consistency and accuracy of data.
  • Continuously update CounselLink with claim information to keep data current and accurate throughout the life cycle of each matter; lead ongoing data integrity efforts and periodic large-scale data clean-up projects.
  • Maintain the claims calendar, including deadlines and key matter milestones.
  • Save, organize, and maintain a high volume of litigation-related documents for the claims team; ensure documents are properly indexed.
  • Monitor and route all service of process for the enterprise.
  • Assemble subcontracts, Certificates of Insurance, project team information, and related data for claim-file development.
  • Prepare monthly, bi-monthly, and quarterly claim reports for each ARCO general contractor, including trends and key takeaways summaries, supplemental reports, and corporate governance claim reports.
  • Produce bi-weekly data validation report and manage the bi-weekly cycle of updates to claim descriptions, outcomes, and lessons learned.
  • Assist with responses to third-party subpoenas, and discovery requests, including gathering responsive materials, Bates-labeling, and transmitting productions.
  • Support risk transfer efforts for insured claims, including preparation of tender letters.
  • Collaborate with attorneys, senior paralegals, and the claims manager on daily requests and ad hoc projects as they arise.
  • Coordinate and attend team meetings.
