About The Position

The Legal Administrative Assistant provides comprehensive administrative and clerical support to the Senior Legal Operations Manager and the broader Legal team. This role plays a critical part in ensuring the department operates efficiently by managing schedules, coordinating communications, supporting billing processes, and handling a variety of administrative functions in a fast-paced, professional environment.

Requirements

  • High school diploma or equivalent required
  • 3–5 years of administrative experience, preferably in a corporate or legal environment
  • Strong organizational and time management skills, with the ability to prioritize in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general PC applications
  • Experience with data entry, reporting, and document management
  • Ability to manage multiple tasks and adapt to shifting priorities
  • Strong attention to detail and accuracy in handling documents and data
  • Effective written and verbal communication skills with the ability to interact professionally with internal teams and external vendors
  • Ability to analyze basic problems, collect data, and support decision-making
  • Familiarity with office equipment and standard administrative processes
  • Ability to follow instructions and complete tasks independently

Responsibilities

  • Coordinate and manage shared calendars, meetings, correspondence, and presentations for the Legal team
  • Provide day-to-day administrative and clerical support to the Senior Legal Operations Manager and department members
  • Assist with legal billing processes, including invoice tracking, submission, and reconciliation
  • Arrange and coordinate travel schedules, accommodations, and related logistics as needed
  • Generate reports, dashboards, and graphs to support team operations and decision-making
  • Maintain office supplies inventory and place orders as necessary
  • Support department mail distribution and document handling
  • Assist with DocuSign processes, including preparing and routing documents for execution
  • Help plan and coordinate internal events, customer visits, and community engagement activities
  • Participate in special projects and provide administrative support as needed
  • Provide backup support to other administrative assistants when required
  • Ensure compliance with company policies, including security, confidentiality, and data handling procedures
  • Adhere to all health and safety guidelines and perform other duties as assigned
