About The Position

Jackson Lewis P.C. is a preeminent workplace law firm focused on employment and labor law since 1958. The Legal Administrative Assistant is an important team member supporting multiple labor and employment litigation attorneys. This role requires strong skills in both legal and administrative support, including drafting/revision of correspondence and documents, experience with eFiling Systems, and conducting legal research. Advanced editing and formatting skills, excellent proofreading, and attention to detail are essential. Administrative functions include calendar maintenance, managing attorney expenses, submitting invoices, and travel arrangements. The successful candidate will be highly organized, detail-oriented, a team player, and possess at least five years of recent litigation secretary experience.

Requirements

  • Five years of recent legal secretarial experience within a law firm or legal department of a professional services firm.
  • Strong understanding of legal terminology and court‑specific filing requirements, and familiarity with state and federal rules and procedures.
  • Strong verbal and written communication skills, with excellent proofreading ability.
  • Ability to multitask, respond in a timely manner and meet deadlines, take initiative, and balance workload effectively.
  • Proficiency with technologies including Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) required.
  • Strong interpersonal skills and the ability to work well in a cooperative, small office environment in a large firm, and communicate effectively with attorneys and support staff at every level.
  • High school diploma or equivalent required.

Nice To Haves

  • Litigation support experience preferred.
  • Experience with law firm billing software including billing, expense, document management, Tables of Authorities/Tables of Content, etc is preferred.
  • Four‑year college degree preferred.

Responsibilities

  • Engage in the work of the attorney by demonstrating knowledge and awareness of current cases and projects, utilizing available resources to support case progress.
  • Provide support to four (or more) attorneys in employment law matters and offer backup support as needed.
  • Support attorneys with correspondence, pleadings, documents, and other documents as directed; proofread all documents to ensure accuracy.
  • Manage document filing in multiple courts with various requirements, primarily using electronic filing.
  • Perform office and client filing using internal document management systems.
  • Interact with internal departments, outside agencies, vendors and clients.
  • Handle a wide variety of complex, confidential, and time‑sensitive material.
  • Work with internal teams to complete conflict checks and open new client engagements as requested, to assist with billing review, inquiries and collections, and for docketing for litigation attorneys.
  • Maintain calendars, CLE records, and reports; assist with time entries when needed.
  • Book and organize travel arrangements as needed, assist with expense reimbursement.
