Ballard Spahr has an excellent opportunity for an experienced Legal Administrative Assistant with demonstrated litigation, technical, and administrative skills to support attorneys and clients in our Minneapolis office. The selected individual will assume responsibility with minimal supervision, exercise initiative and sound judgment within their assigned authority, and champion collaboration with attorneys, colleagues, and clients. This position requires a proactive professional who can anticipate needs, manage competing priorities, and deliver exceptional client service in a fast-paced legal environment. This hybrid position offers a work schedule of 3 days a week in the Minneapolis office.

Requirements

  • Minimum of 3 years of general litigation experience in a law firm or comparable professional services environment.
  • Experience preparing and e-filing documents in state and federal courts.
  • High degree of proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Demonstrated ability to exercise sound judgment, work independently with minimal supervision, and manage confidential information.
  • Strong organizational skills and the ability to prioritize competing demands while maintaining accuracy and attention to detail.
  • Self-motivated with a passion for continuous learning and problem-solving.
  • Strong verbal and written communication abilities.
  • Keen attention to detail with the ability to manage multiple priorities and deadlines independently.
  • Ability to work cooperatively and effectively within a team environment.

Nice To Haves

  • Experience with document management systems and time and billing systems preferred.

Responsibilities

  • Maintain and process case information through final disposition.
  • Create and manage electronic files and prepare correspondence, memoranda, pleadings, and other complex legal documents.
  • Prepare documents for state and federal court filings and electronically file documents in various state and federal courts.
  • Maintain attorney calendars, schedules, and contact information.
  • Support new client intake and related administrative processes.
  • Provide exceptional internal and external client service while managing multiple priorities.
  • Prepare and process time entries, coordinate billing activities, arrange travel, and manage expense reimbursements.
