About The Position

This is a three-month contingent opportunity for a skilled Legal Administrative Assistant (LAA) to provide essential support to IPT (Intellectual Property and Technology) attorneys in the Wilmington office. The role is designed to ensure the smooth operation of administrative functions within a fast-paced environment, covering a leave of absence. You will act as a key liaison between attorneys, legal teams, and information governance resources, managing critical workflows and ensuring deadlines are met with precision. The Wilmington office is centrally located, providing easy access to the city’s legal district and local amenities. This position requires a regular in-office presence, allowing you to collaborate directly with the team in a professional, high-energy setting.

Requirements

  • Minimum of two years of administrative experience specifically within a law firm or professional services environment.
  • High School Diploma or GED.
  • Highly skilled in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with legal software such as iManage, Aderant, or Zoom.
  • General familiarity with legal terminology, documentation, and law firm best practices.
  • Confident, capable of working independently with minimal supervision, and productive under pressure.
  • Available for a 3-month contract.
  • Available to work onsite in Wilmington, DE, from Monday to Friday, 8:00 AM – 5:00 PM EST.

Responsibilities

  • Provide practice-specific support to multiple associates and partners, prioritizing work based on unique practice requirements.
  • Draft, edit, and proofread legal documents, communications, and presentations to ensure absolute accuracy.
  • Manage complex calendars and coordinate day-to-day information governance and records management tasks.
  • Oversee billing matters, including processing prebills, addressing attorney questions, and ensuring final bills are delivered timely.
  • Organize and monitor assignments within the firm’s workflow tool, including time entry and expense reimbursements.
  • Collaborate with Legal Support Assistants (LSAs) and Legal Executive Assistants (LEAs), providing guidance and delegation on various projects.
  • Communicate effectively with clients, lawyers, and third parties through professional email and voice correspondence.
