About The Position

We are seeking a proactive, highly organized Legal Administrative Assistant (LAA) to provide comprehensive support to transactional attorneys in our New Orleans office. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment and enjoys working collaboratively with legal teams to deliver exceptional service to clients.

Requirements

  • Bachelor’s degree or equivalent related experience.
  • Experience as a legal secretary or administrative assistant in a professional services environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software applications.
  • Willingness and ability to embrace new technology and platforms and the ability to learn new programs and processes quickly.
  • Excellent typing and transcription skills with a high level of accuracy and attention to detail.
  • Strong organizational skills and ability to prioritize tasks effectively in a fast-paced environment.
  • Exceptional communication skills, both written and verbal, with a professional demeanor.
  • Detail-oriented and the ability to manage multiple assignments while meeting deadlines.
  • Must be comfortable working in a fast-paced legal environment with shifting priorities.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Responsibilities

  • Open, close, and maintain client files, keeping them organized and current, both in electronic and hard copy format.
  • Create, edit, and revise legal agreements, correspondence, reports, and other documents.
  • Proofread documents for spelling, grammar, and layout, making appropriate changes; responsible for accuracy and clarity of final copy.
  • Maintain attorney time records and accurate billing.
  • Answer phone calls, take messages, and redirect calls when appropriate.
  • Open and screen incoming mail and prepare documents for mailing.
  • Correspond with clients verbally and in writing and represents the attorney to the client in a professional manner.
  • Manage attorneys’ calendars, schedule meetings, and coordinate other out of office matters.
  • Coordinate travel arrangements; prepare itineraries; prepare, compile, and maintain travel records and reimbursement requests.
  • Respect strict confidentiality requirements regarding client files.
  • Navigate workflow technology with confidence; utilize central teams and ensure accuracy.
  • Proactively build and coordinate relationships with other LAA’s and teams.
  • Assist others on team, as needed, to manage client deadlines.
  • Regular and predictable attendance.
