Currently seeking an experienced legal admin to join our growing team. This position is hybrid - this position requires onsite attendance at our Toronto office 2 days a week. The remainder of the week can be worked remotely.

Requirements

  • Experience in a legal, collections, or professional services environment preferred
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple deadlines in a fast-paced, high-volume environment
  • Professional written and verbal communication skills
  • Comfort working with legal management systems and document workflows

Nice To Haves

  • Knowledge of court processes and legal terminology is an asset

Responsibilities

  • Prepare, review, and process outgoing legal correspondence, including demand letters, notices, releases, satisfactions, and court-related mail
  • Coordinate printing and mailing through third-party vendors (where applicable)
  • Receive, log, and distribute incoming mail, service documents, and court materials
  • Coordinate service of legal documents with process servers and track proof of service
  • Prepare, organize, and file Affidavits of Service
  • Maintain accurate records of service attempts, confirmations, and deadlines
  • Maintain and update electronic legal files in internal systems
  • Pull and compile supporting documentation (“backups”) for court filings, client requests, and audits
  • Ensure documents are properly indexed, stored, and retrievable
  • Respond to routine client inquiries regarding file status, documentation, and timelines
  • Liaise with internal teams (collections, accounting, legal staff) to obtain required information
  • Prepare and send standardized client correspondence
  • Track critical deadlines (service dates, response timelines, court deadlines)
  • Escalate urgent or time-sensitive matters to appropriate legal staff
  • Assist with quality control to ensure procedural compliance
  • Compile and track legal invoices, disbursements, and supporting documentation
  • Assist with reconciliations, payouts, and reporting as required
