About The Position

We are seeking an experienced Leave of Absence Coordinator to join our Human Resources team and oversee the administration of employee leaves across a complex, multi-state organization. This position is responsible for managing the full leave lifecycle while ensuring compliance with federal, state, and company requirements. The ideal candidate will have hands-on experience administering leaves for a large, multi-state workforce and a strong understanding of FMLA, state paid family and medical leave programs, USERRA, ADA-related leave considerations, and other applicable federal and state leave requirements. This is a highly collaborative role that partners with employees, managers, HR Business Partners, Payroll, Benefits, and other stakeholders to provide accurate, timely, compliant, and compassionate leave support.

Requirements

  • The successful candidate is an organized, knowledgeable, and employee-focused HR professional who can balance compliance, accuracy, and compassion when supporting employees through often sensitive and challenging circumstances. You should be comfortable working independently, managing a high volume of cases, interpreting complex leave requirements, and knowing when a situation requires additional review or escalation.
  • 3+ years of hands-on leave of absence administration experience, preferably within a large, multi-state organization.
  • Demonstrated experience managing complex leaves from beginning to end.
  • Strong working knowledge of FMLA, USERRA, and state-specific paid family and medical leave programs.
  • Experience administering leave programs across multiple states with varying eligibility and documentation requirements.
  • Working knowledge of ADA considerations related to leave and return-to-work situations.
  • Experience managing intermittent and continuous FMLA, medical, parental, military, pregnancy-related, and state-specific leaves.
  • Strong computer skills, particularly Excel and email communication.
  • Strong attention to detail and ability to manage a high volume of cases and competing deadlines.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential employee and medical information with discretion and professionalism.
  • Strong judgment and the ability to recognize situations requiring escalation or additional HR, Employee Relations, or Legal guidance.
  • Experience working with an HRIS and/or leave management system.

  • Experience partnering closely with Payroll, Benefits, Employee Relations, HR Business Partners, and Legal.

Responsibilities

  • Manage the full lifecycle of employee leaves of absence, from initial request through return to work.
  • Administer federal, state, and company leave programs, including FMLA, state paid family and medical leave, USERRA, parental leave, pregnancy-related leave, medical leave, and other applicable leave programs.
  • Work with HR Manager to determine employee eligibility, entitlement, and applicable leave protections based on federal, state, and company requirements.
  • Manage continuous and intermittent leaves, including tracking usage and remaining entitlements.
  • Prepare and issue required leave notices, certifications, designation notices, approval/denial communications, and return-to-work documentation.
  • Monitor and follow up on required documentation and certifications.
  • Maintain accurate and confidential employee leave records.
  • Coordinate with Payroll and Benefits regarding leave-related pay, deductions, benefit premiums, and other impacts.
  • Partner with HR Business Partners and Employee Relations on complex leave matters, including situations that may involve ADA accommodations or other employment considerations.
  • Provide employees with clear, compassionate guidance regarding leave eligibility, documentation, pay and benefits, and return-to-work expectations.
  • Provide managers and HR partners with guidance on leave processes and requirements while maintaining employee confidentiality.
  • Stay current on changes to federal, state, and local leave laws and assist with updating processes and policies as needed.
  • Support leave audits, reporting, compliance reviews, and process improvement initiatives.
  • Identify potential compliance concerns and appropriately escalate complex or sensitive matters.
