About The Position

The Leave Case Manager position is part of the leave team within Employee Services at the University of Colorado System Administration. This role is responsible for administering and advising on federal, state, and university leave benefits, including FMLA, Parental Leave, Short Term Disability, and FAMLI. The position requires a strong understanding of these leave processes and the ability to communicate them clearly to employees, supervisors, and campus partners. The Leave Case Manager will also assist in providing guidance and training on leave-related matters to campuses and contribute to the improvement of the centralized leave program to ensure compliance with state and federal regulations. A successful candidate will possess strong attention to detail, the ability to navigate complex and changing processes, and excellent collaboration skills to work effectively within a team and with various university departments.

Requirements

  • Bachelor’s degree from an accredited institution of higher education, or equivalent professional experience (professional experience may be substituted for the educational requirement on a year-for-year basis).
  • One (1) year of experience in a benefit or leave related environment, or similar.
  • Knowledge of the Family and Medical Leave Act (FMLA) regulation.
  • Knowledge of the Colorado Family and Medical Leave Insurance Act (FAMLI) or other state family leave requirements.

Nice To Haves

  • Two (2) years’ professional experience related to coordinating and supporting leave programs, or other similar programs.
  • Experience with researching and applying federal and state program compliance requirements.
  • Experience with case management and documentation.
  • Certified Leave Management Specialist (DMEC) certification (candidates without this certification will be required to obtain it within one year).
  • Experience with HCM and MyLeave.
  • Experience working in Higher Education.
  • Experience working with payroll processing.

Responsibilities

  • Administer the Family and Medical Leave Act, Family and Medical Leave Insurance Act, and Parental Leave, including communicating with employees, determining eligibility, providing necessary documentation, reviewing medical certifications, designating leave, and managing the return-to-work process.
  • Collaborate with the payroll team to ensure accurate tracking, payment, and reporting of leaves in the HCM payroll system.
  • Collaborate with University Risk Management to ensure On-the-Job Injuries (OJI) are appropriately designated under FMLA and related leave restrictions are managed by departments.
  • Guide and instruct employees through the Parental Leave application process, ensuring clear understanding of benefits and entitlements.
  • Assist in educating and training campuses on FMLA, FAMLI, and other related leave regulations through various training formats.
  • Maintain compliance and stay updated with FMLA and FAMLI regulations and university policy changes, partnering with leadership to educate campuses on these changes.
  • Research policies, practices, procedures, and case law related to FMLA, FAMLI, and other types of leave.
  • Collaborate with all University of Colorado campuses regarding leave management standard methodologies.
  • Work with campus HR teams to address complex cases that intersect with performance management or other Employee Relations topics and initiatives.
