About The Position

The Leave and Health Administration Specialist is responsible for administering health, leave of absence, and workers' compensation programs while ensuring compliance with regulatory requirements and company policies. This position serves as a trusted resource for associates and leadership, coordinating leave requests, managing case documentation, supporting occupational health initiatives, facilitating return-to-work processes, and providing guidance on leave-related policies and procedures. The role requires exceptional organizational skills, strong problem-solving abilities, and a commitment to delivering accurate, confidential, and employee-focused support.

Requirements

  • 0-1 years of experience in HR Leave Management or Medical Assisting
  • High School Diploma or GED
  • English (written and verbal)
  • Strong understanding of FMLA, ADA, HIPAA, Workers' Compensation and EEO laws and ability to interpret and apply consistently.
  • Excellent interpersonal, written and verbal communication skills.
  • Collaborate effectively with team members while also excelling in independent work environments.
  • Demonstrates strong ownership of responsibilities by proactively following up on and completing tasks and projects.
  • Consistently maintains excellent attendance and punctuality.
  • Ability to analyze complex situations and apply problem solving skills to resolve issues.
  • Independently gathers and analyzes information from multiple sources, using sound judgment and integrity to make informed decisions and deliver responses that align with established policies and procedures.
  • Good interpersonal skills with the ability to interact with Associates at various levels in a team environment.
  • Comfortable working with executive level leadership.

  • Intermediate computer skills including Microsoft Office programs (i.e., Excel, PowerPoint, Word, etc.).
  • Must be flexible to work different hours as needed by the department/business.

  • 2- or 4-year degree in related medical field or Human Resources field
  • First Aid and CPR Certified
  • SHRM CP or SHRM SCP

  • Proficiency with HR systems

Responsibilities

  • Assists the Workers' Compensation Administrator with the claim process from end to end, including coordination of care, gathering paperwork, determining claim allowance, and ensuring a smooth return-to-work transition.
  • Ensures compliance with all federal, state and Company leave programs.
  • Identifies leave of absence needs, determines eligibility, and directs Associate as necessary.
  • Updates and maintains Associate’s leave of absence time and status in HRIS system.
  • Communicating leave details and status updates to Associates and leadership, ensuring a seamless Associate experience.
  • Supports return-to-work and transitional work processes through communication, documentation, and coordination with associates, leadership, healthcare providers, and other stakeholders.
  • Assists in updating departmental SOP's.
  • Act as a central point of contact and knowledge base for associates and leadership regarding leave policies, procedures, and legal requirements (e.g., FMLA, ADA, state-specific leave laws, etc.).
  • Collects and organizes all Personal Leave of Absence documentation needed to make an allowance determination. Once determination has been made, provides follow-up and notifications.
  • Collaborate with internal and external stakeholders to ensure smooth processing of leave requests, payments and risk mitigation measures are effective.
  • Develop and maintain educational material and provide coaching and training to Leadership and Associates.
  • Maintains confidentiality and privacy of Associate information and company data.
  • Advises immediate Supervisor and HR on potential issues and provides resolutions.
  • Assist in implementing and maintaining occupational health programs (i.e., wellness, ergonomics, hearing conservation) and support injury investigations.
  • Act as a role model for all Associates and adhere to the company core values.

  • Collects and organizes documentation for accommodation requests, coordinates communications, prepares materials for the interactive process, and provides follow-up notifications and case administration support.
  • Maintains administrative records, compliance logs, program documentation, and department reporting requirements to support occupational health and leave administration programs.
  • Other duties as assigned by Leadership.
