About The Position

The Leave Administration Specialist reports to the HR Shared Services Manager and supports the HR Shared Service and HR Business Partner functions. This role works closely with the Human Resources, Regional Operations, and Legal teams. The Leave Administration Specialist (“LAS”) administers and supports all employee-qualified leave of absence programs including the Family and Medical Leave Act (“FMLA”), qualified state sick leave programs, paid parental and paid maternity leave, and accommodations qualified under the Americans with Disabilities Act (“ADA”) and Pregnant Workers Fairness Act (“PWFA”), and other Company offered leave programs. The LAS maintains an up-to-date knowledge of all government regulations and maintains compliance with leave of absence and employment laws including the FMLA. The LAS works closely with employees to advise them of Company policies, guidelines, and documentation requirements throughout the leave process.

Requirements

  • Bachelor’s degree, Human Resources or Business Administration preferred.
  • 2+ years’ experience assisting with leave administration programs preferred.
  • High attention to detail.
  • Proficiency in Microsoft Office with an emphasis on Excel skills.
  • Experience with Dayforce software preferred.
  • Superior customer service skills, including excellent verbal and written communication.
  • Must have a valid smart phone or smart device to log in to Company required systems using two-factor authentication.

Responsibilities

  • Communicate with employees regarding their needs for leave and/or workplace accommodations, ensuring that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
  • Handle the FMLA leave administration process from an employee’s initial notice of the need for leave to the return to work, including determining leave eligibility, gathering and completing all required paperwork, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
  • Maintain reasonable communication with employees on leave to facilitate smooth and timely return to work, relays communication between employees, their managers, and appropriate Human Resources representatives during leave within reason.
  • Advise managers and employees on the interaction of leave laws with paid time off, short-term and long-term disability benefits, paid parental leave, and any other Company-paid benefits.
  • Partner closely with Human Resource Business Partners, Human Resources leadership, and members of the Legal department for leave and accommodation determinations when applicable.
  • Manage the return-to-work process for employees returning from FMLA or other leave.
  • Facilitate other leave requests, which may include accommodation requests under the ADA or PWFA.
  • Administer other Company time-off programs as assigned in accordance with internal policy and applicable laws.
  • Maintain complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Document approved and conditionally approved leave requests in employee timesheets, ensuring accurate payout.
  • Preserve confidentiality of employee medical documentation and files.
  • Maintain knowledge of all applicable leave and accommodation laws including the FMLA, ADA, PWFA, and other federal, state, and local laws.
  • Maintain a high degree of confidentiality in handling employee records.
  • Maintain regular, punctual in person attendance consistent with the ADAAA, FMLA ,and other federal, state, and local standards.
