About The Position

Presbyterian Homes & Services (PHS) is seeking a Leave Administrator to join their team. As a Leave and Accommodation Specialist at Presbyterian Homes & Services (PHS), you’ll play a vital role in supporting the well-being of over 8,000 employees across three states (MN, IA and WI). This high-impact position manages a high volume of medical and family leaves, ensuring each employee receives compassionate, knowledgeable, and timely guidance through every stage of their leave journey. You’ll be the go-to expert for Minnesota Paid Leave (MPL), FMLA, and medical leaves, coordinating with HR, Benefits, Payroll, and Employee Health to provide seamless, end-to-end support. From helping an employee plan their leave, to coordinating supplemental pay and benefits, to guiding their return to work — you’ll make a direct difference in people’s lives every day. Requirements

  • Bachelor’s degree in Human Resources, Vocational Rehabilitation, or related field required; Equivalent specialized HR experience/certification may substitute.
  • 3-5 years of experience administering end-to-end leave, return-to-work, and accommodation programs, including FMLA, ADA, Minnesota Paid Leave, and other applicable regulations.
  • In-depth knowledge of state, federal, and local employment laws, leave regulations, disability management, and reasonable accommodation practices.
  • Experience in process development, case management, and HRIS/leave management systems.
  • Strong interpersonal, written, and verbal communication skills; ability to interact with employees, managers, and external partners professionally, empathetically, and confidentially.
  • Ability to prioritize, organize, and manage a high volume of cases in a fast-paced environment.
  • Proficiency in Microsoft Office and HRIS/leave management platforms.
  • Ability to work independently, exercise sound judgment, critical thinking skills to select, organize, and logically process relevant information to solve problems and maintain the highest level of confidentiality. critical thinking

Responsibilities

  • Provides expert, high-touch coordination of medical and family leave programs, as well as reasonable accommodations and return-to-work plans including the interactive process in coordination with employees and leadership teams.
  • Performs case management to ensure communication and all aspects of cases are managed accurately and timely.
  • Ensures compliance with federal, state, and organizational policies while maximizing the employee experience through clear communication, guidance, and advocacy.
  • Ensure efficient handling of all FMLA and Medical leaves. Work with PHS sites to support their needs. Influence and manage expectations that foster embedment of current FMLA and Medical Leave policies which will lead to consistent and simplified policies/processes.
  • Serve as the primary point of contact for employees throughout the entire leave lifecycle—from initial inquiry through return-to-work or closure.
  • Act as liaison between Site Human Resources, supervisors, Employee Health, Corporate HR and employees on FMLA and Medical Leave issues.
  • Coordinate federal, state, and employer leave programs, including PFML, FMLA, medical leaves, and personal leaves.
  • Provide high-touch communication with employees regarding eligibility, timelines, documentation, benefits, and next steps.
  • Provide guidance and support to employees, managers and others on MyLeave self service for employees and managers.
  • Guide employees through planning for leave, including timing, supplemental pay, and benefit impacts.
  • Track concurrent leaves (e.g., Workers’ Comp, FMLA, MN Paid Leave, ADA accommodation and other applicable leaves).
  • Coordinate return-to-work plans and accommodation requests for employees with non-occupational illnesses or injuries.
  • Collaborate with Payroll and Benefits teams to ensure accurate supplemental pay, wage replacement, and benefit deductions during leave.
  • Coordinate leaves and benefits with employer-sponsored leaves, short-term disability, PTO, and supplemental pay programs; responsible for centralized coding of medical and family leaves on timesheets.
  • Ensure all processes comply with federal, state, and PHS policies.
  • Maintain accurate records, track deadlines, and provide timely reporting to HR, Payroll, and leadership.
