About The Position

Ironwood Gardens Apartments is seeking a Leasing Office Clerk to join their team. This part-time position is responsible for managing the leasing process from initial contact to resident move-in. The role involves representing the apartment community, maximizing occupancy, and ensuring profitability. The Leasing Office Clerk will coordinate office activities, provide administrative support, and handle clerical tasks. This is a non-exempt, hourly position eligible for overtime, with bonuses based on an on-site compensation plan.

Requirements

  • At least two years of related experience is preferred.
  • Strong communication skills are needed.
  • Ability to convey information and ideas.
  • Ability to deal effectively with vastly diverse groups of people.
  • Valid Driver’s License.
  • Demonstrate complete knowledge of the features and benefits of the community as well as trends and features of the local market to better position the Company’s offerings versus competitors.
  • Working knowledge of all services and facilities of the company.
  • Ability to assist tenants and prospective tenants in an effective manner.
  • Ability to fully follow supervisor’s directions.
  • Ability to remember and recite company promotions and information.
  • Prolonged periods sitting at a desk and working on a computer and standing and walking, giving tours, and meeting with potential tenants.
  • Must be able to lift up to 15 pounds at times.
  • Must be able to traverse a variety of properties with stairs and in a variety of weather.
  • Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
  • Ability to see within normal parameters.
  • Ability to hear within normal range.
  • Ability to work Monday through Saturday during the week, 52 weeks of the year.
  • Ability to work scheduled hours consistently and overtime hours when required.

Responsibilities

  • Lease apartments and aggressively sell products/services of the property.
  • Develop, refine and effectively implement excellent telephone personal sales skills.
  • Respond to site visits or telephone inquiries, conduct site tours, sell to Prospects and lease apartments.
  • Work to optimize occupancy while maximizing effective leased rent.
  • Show and transport amenities, models, and available apartments during tours.
  • Work with property management staff to develop and implement sales and marketing strategies.
  • Increase property traffic levels, maintain closing ratios and work to achieve and exceed budgeted occupancy percentages.
  • Prepare all lease related paperwork in an accurate and timely manner.
  • Explain all lease documents to new and existing Residents.
  • Ensure all documents are completed prior to Resident move-in.
  • Follow established policy and procedures in the qualification, screening and acceptance of applicants for residency.
  • Ensure apartments are ready for move-in and are maintained in a satisfactory manner.
  • Assume responsibility for property operations when scheduling results in the leasing consultant being the senior management staff person on-site.
  • Maintain Company customer service standards.
  • Respond to Resident requests and work with Residents to minimize and resolve Resident problems and complaints.
  • Follow through to ensure issues are resolved.
  • Maintain prospect, traffic and leasing data, and assist with other computer data as necessary.
  • Deliver Resident gifts, inspect units on move-in day to ensure units are ready and assist with planning/hosting Resident functions.
  • Follow the property lease renewal program to maximize Resident renewals.
  • Answer phones, direct calls to appropriate individuals, and prepare messages as needed.
  • Provide clerical support to leasing staff with administrative duties such as copying, sorting, and filing records.
  • Process invoices as needed in support of management.
  • Prepare letters, memos, forms, and reports according to written or verbal instructions.
  • Participate in Company training classes as required.
  • Maintain filing systems either manually or electronically.
  • Manage calendars and schedule appointments.
  • Perform other duties as assigned by supervisor.
