About The Position

The Integral Group is sourcing candidates for a Leasing Consultant Agent role. This position is customer-facing, serving as the primary point of contact for residents, guests, and prospective clients. The role involves managing the entire leasing process within the community, from initial inquiries to lease finalization and resident move-in. Key responsibilities include providing excellent customer service, handling telephone calls, scheduling appointments, qualifying prospective residents, conducting property tours, and processing applications and lease agreements. The Leasing Consultant is also responsible for maintaining accurate records in property management systems and ensuring the presentation of model and market-ready apartments meets company standards. Additionally, the role involves handling resident service requests and contributing to the daily operations of the leasing office.

Requirements

  • High School Diploma or GED.
  • Proficient in MS Office Suite.
  • High energy with a positive attitude, and people oriented.
  • Able to work with and understand persons of all ethnic and educational backgrounds.
  • Able to communicate clearly and effectively (by telephone and written correspondence).
  • Must have a professional demeanor and image.
  • Must be a team player with a pleasant disposition.
  • Personal grooming, dress, and appearances in keeping with normal expectations for office professionals.
  • Can assist Community Manager and/or Assistant Manager in all duties, which he/she may be assigned which may include flexible hours outside of published office hours.
  • Successful completion of all in-house training programs related to the service level as defined in the IPM Management Service Policies and Procedures manual.
  • Must possess valid documentation to establish identity and U.S. employment eligibility.
  • Ability to pass a thorough pre-employment background check and drug screening.

Nice To Haves

  • One to two years of leasing/sales and/or Customer Service experience.
  • Experience in dealing with customers or the general public.
  • Business school, college, marketing or other accredited courses in sales and marketing preferred.

Responsibilities

  • Provide excellent customer service to all residents, guests, and customers.
  • Handle the leasing process, including answering telephones, scheduling appointments, qualifying prospective residents, showing the community, and leasing available apartment homes.
  • Answer telephones with the appropriate Integral greeting and document calls via a guest card.
  • Check and return CallMax messages daily before 10 am, documenting actions in the system.
  • Retrieve and act on leads in ILM daily, clearing the Lead board and Prospect board within 48 hours.
  • Greet prospective residents and guests appropriately.
  • Conduct daily checks of model and market-ready apartments for 'show readiness' and take action to clean if necessary.
  • Show model and market-ready apartment homes.
  • Offer and schedule live virtual tours, following up with potential residents.
  • Inform guests and residents about customer feedback opportunities.
  • Assist prospective residents with application completion, checking for completeness, explaining policies, determining move-in dates and units, and collecting deposits/fees.
  • Submit Market Rent applications to CM within 48 hours and Tax Credit/AA applications to QA within 7 days.
  • Verify application information and make recommendations to the Community Manager.
  • Complete Lease Documents, including all addenda, explain the lease to applicants, and obtain signatures.
  • Deliver lease documents to the Community Manager for review and signature within 24 hours of move-in date.
  • Deliver completed files to QA within 72 hours of move-in.
  • Make real-time, daily entries in Yardi and/or status reports, including updating the Unit Availability Report.
  • Complete all move-in details, including preparing and providing move-in packages, reviewing lease paperwork, verifying keys, providing copies of documents, conducting move-in inspections, collecting payments, and verifying utility transfers.
  • Initiate Yardi information, including lease dates, rent amounts, deposits, fees, occupant details, contact information, and rental insurance confirmation.
  • Handle lease renewals, notifying residents of options and completing renewal paperwork.
  • Handle telephone calls from residents concerning service requests, reviewing work order history, entering new requests in Yardi, and escalating issues as needed.
  • Review and print daily pricing from LRO and update Market Rents weekly.
  • Perform daily cleaning of the Leasing Office, including tidying the desk space and setting up marketing collateral.
  • Answer the telephone and retrieve messages from the answering service.
  • Distribute mail.
  • Maintain a positive, courteous, and helpful attitude.
  • Accept rent and write receipts, and follow up on delinquent accounts.
  • Maintain files as needed.
  • Adhere to policies and procedures.
  • Turn lights on/off in show-ready apartments and models daily.
  • Check community email frequently and input email leads into ILM.
  • Perform other duties as assigned by Supervisors.
