About The Position

The Leasing and Administrative Specialist plays a key role in driving occupancy and delivering outstanding customer service within a large residential community. This position focuses on greeting and assisting prospective tenants, conducting property tours, managing the leasing process, and providing responsive support to current residents. The role combines sales, customer service, and administrative responsibilities, requiring strong communication skills, attention to detail, and the ability to work in a fast-paced, team-oriented environment.

Requirements

  • At least 1 year of experience in leasing or property management.
  • Demonstrated customer service experience, preferably in residential real estate or apartment communities.
  • Proficiency with Microsoft Office Suite, including basic skills in Word, Excel, Outlook, and related applications.
  • Strong communication skills, with the ability to convey information clearly and professionally in person, over the phone, and in writing.
  • Excellent interpersonal skills, with the ability to build rapport with prospective and current tenants.
  • Solid computer skills, including comfort with data entry and use of property management or office software.
  • Ability to answer phones professionally and manage multiple inquiries while maintaining a customer-focused approach.
  • Customer-focused mindset with strong problem-solving abilities to address tenant needs and resolve issues effectively.
  • Organized and detail-oriented approach, with the ability to manage multiple tasks and priorities in a busy environment.
  • Ability to work weekends or evenings as needed to support leasing and resident service demands.

Nice To Haves

  • Experience with Entrata property management software is a plus.
  • background in sales or sales-focused customer service is beneficial.
  • Familiarity with apartment buildings and residential real estate operations.
  • Ability to collaborate effectively within a team of on-site professionals.
  • Comfort working in a high-occupancy community and managing a steady flow of prospective and current resident interactions.

Responsibilities

  • Greet and assist prospective tenants, offering a warm welcome and providing clear, detailed information about available units and community amenities.
  • Conduct professional property tours, highlighting unit features and community benefits that align with prospective tenants’ needs and preferences.
  • Prepare, explain, and execute lease agreements in compliance with company policies and legal requirements, ensuring accuracy and completeness of all documentation.
  • Respond promptly to inquiries via phone, email, and in-person visits, providing accurate information and courteous assistance.
  • Address tenant concerns in a timely and professional manner, coordinating with maintenance teams to ensure efficient resolution of service requests.
  • Process rental applications, including verifying references and conducting credit and background checks in accordance with established procedures.
  • Maintain accurate and up-to-date records of leases, renewals, and occupancy reports to support effective property management and reporting.
  • Perform data entry and other administrative tasks, ensuring information is correctly entered into property management and office systems.
  • Answer incoming phone calls, route inquiries appropriately, and provide consistent, high-quality customer service to prospects and residents.
  • Collaborate with on-site team members to support leasing goals, occupancy targets, and overall resident satisfaction.
  • Utilize computer systems and Microsoft Office Suite to prepare documents, track information, and communicate effectively with residents and colleagues.
  • Work weekends or evenings as needed to accommodate prospective tenants’ schedules and support peak leasing activity.
