About The Position

This Lease up and Transition Coordinator supports the successful transitions and lease-ups of newly acquired multi-family properties into Neighborly Communities by ensuring alignment with policies, and operational standards but implementing all necessary platforms. The role is heavily involved with cross-functional collaboration across departments within Neighborly Ventures. Key responsibilities include supporting new team members, implementing and optimizing property management systems, maintaining compliance with housing regulations, and enhancing overall operational efficiency.

  • High school diploma or equivalent.
  • At least one (1) year of Property Management experience.

Responsibilities

  • Actively practice and promote an outward mindset, guiding team members through example and mentorship.

  • Assist the Regional Director during the transitions or lease ups of newly acquired properties.
  • Ensure the implementation of Neighborly Communities Policies, Procedures, and best practices during every property transition or lease up.
  • Collaborate with the LUT team to support the Lease Up and Transition Committee in developing, monitoring, and maintaining lease up manuals for each new project.
  • Assist and continue to support onsite Management Teams as they navigate Property Transition and Lease Ups until stability is achieved.
  • Take the lead in overseeing and tracking the implementation of all platform and integration partners to enhance onsite operational efficiency and contribute to the development of procedures based on this collaboration.
  • Attend meetings as assigned on behalf of the Regional Director, upon request.
  • Conduct a comprehensive audit of Resman, Tenant Tech, and the property website to ensure consistency among units and buildings, aligning them with the current property's rent roll, budget, site plans, and Neighborly Communities' standards.
  • Lead and manage weekly Lease-Up and Transition Committee meetings; document and track all progress and processes, adjusting timeline as needed; inform LUT committee and update Lease-Up Manual of any impending changes.
  • Monitor and oversee transitioning resident data, lease information, renewals and upcoming vacancies, ensuring each account is accurate.
  • Set up or transition property vendor accounts & utilities for property, eliminating any outstanding bills or negative impact to property services.
  • Create a spreadsheet with information, upload it to SharePoint, and manually add information into TT and Resman, as needed or assigned.
  • Ensure that all necessary Manuals, mandatory Fair Housing and EEO posters, and OSHA procedures and policies are in place at each community.
  • Create and organize labeled system for physical files and/or electronic files as determined by Regional Director or Community Manager.
  • Support Neighborly Communities Operations Department in revising and creating Policy and Procedure documents to ensure consistent company-wide implementation of Fair Housing practices during Property Transition and Lease Ups.
  • Participate in developing a communication system for disseminating information to onsite teams regarding new platform rollouts, updates to or changes in federal/state Fair Housing laws, and any modifications to NVI policies and procedures under the guidance of the RD Department, specifically related to Property Transition and Lease Ups.
  • Act as an ongoing resource for new teams during the property transition or lease up phase through virtual meetings and, when necessary, in-person visits.
  • Develop strategies and actively seek opportunities to overcome reported obstacles, identify areas for improvement, and report findings to the Regional Director.
  • Excel in the utilization of ResMan, overseeing and managing tasks such as monitoring, inputting, and approving account receivables and payables. Additionally, track financial metrics using ResMan, including balance sheets, Profit & Loss statements, and security deposits, throughout the lease-up project's stabilization phase.
  • Collaborate closely with the Marketing and Branding Department to ensure that community leasing and marketing initiatives align with organizational objectives and operational budgets. This includes overseeing marketing plans, occupancy rates, market rates, inquiry traffic, and other relevant marketing and leasing data.
