About The Position

Corporate Realty, Inc. is seeking an experienced and detail-oriented Lease Administrator to join our team in managing a diverse portfolio of commercial real estate assets. This role goes beyond traditional office and retail lease administration—the ideal candidate will bring hands-on expertise with a broad spectrum of commercial agreements, including fiber and telecommunications leases, air rights agreements, easements, licenses, rooftop and antenna leases, ground leases, and other non-standard real estate instruments that generate or obligate payment of rent or fees. The Lease Administrator will be a critical team member, serving as a liaison between company and external stakeholders—including clients, landlords, tenants, vendors, and legal counsel—to ensure all lease obligations are accurately tracked, billed, and administered in compliance with each agreement’s unique terms.

Requirements

  • Bachelor’s degree in Business, Real Estate, Finance, Accounting, or a related field; or equivalent professional experience
  • Minimum of three (3) years of hands-on experience in commercial real estate lease administration
  • Demonstrated experience with a diverse range of commercial real estate agreements
  • Experience with lease abstraction of complex and non-standard commercial real estate documents
  • Proficiency in commercial lease database software is required; Yardi experience strongly preferred
  • Advanced skills in Microsoft Excel, including formula development
  • Proficiency in Microsoft Word and PowerPoint; ability to prepare professional client-ready reports and presentations
  • Solid understanding of basic accounting and finance principles as they apply to real estate lease analysis, including CAM reconciliation, rent escalation, and operating expense calculations
  • Ability to analyze and interpret complex lease language across a variety of agreement structures
  • Exceptional attention to detail; ability to identify and resolve discrepancies across large volumes of lease data
  • Strong organizational and time management skills; able to manage multiple concurrent priorities and meet deadlines
  • Excellent written and verbal communication skills; comfortable interfacing with clients, tenants, landlords, and vendors
  • Ability to work independently with minimal supervision while maintaining accountability and accuracy
  • Strong analytical and problem-solving skills; able to identify issues and escalate or resolve appropriately
  • Collaborative team player who can build and maintain productive working relationships across departments
  • Flexibility and intellectual curiosity to learn the nuances of non-standard real estate agreements

Responsibilities

  • Abstract new, renewal, amended, and non-standard commercial agreements including: Office and retail leases, fiber, telecommunication, rooftop/antenna and other
  • Identify and flag critical dates, landlord/tenant obligations, co-tenancy clauses, exclusives, SNDA requirements, and unusual provisions
  • Maintain organized, up-to-date lease files and document repositories for each agreement type
  • Track and manage all lease commencements, expirations, option exercise deadlines, and renewal windows across all agreement types
  • Proactively and timely alert internal teams and clients to upcoming deadlines to ensure deadlines are not missed
  • Monitor and manage landlord and tenant obligations, including estoppel delivery, SNDA execution, co-tenancy compliance, and lease audit rights
  • Administer and track rights and obligations specific to non-traditional leases (e.g., telecom lease escalation schedules, air rights payment triggers, license fee adjustments)
  • Assist in the setup and ongoing maintenance of client portfolios in lease management systems
  • Prepare periodic portfolio reports summarizing lease status, financial obligations, critical dates, and variance analyses
  • Support due diligence efforts for acquisitions, dispositions, or portfolio transitions involving all lease types
  • Input and maintain accurate tenant charges in database software, including: Base rent and stepped/escalating rent schedules (set or CPI Index), additional rent, CAM/Tax/Ins/OPX reconciliations
  • Issue monthly billings and statements as may be needed; manage collections and track tenant account balances
  • Maintain W-9 records for vendors and landlords; coordinate with accounting on 1099 reporting
  • Support accounts receivable and payable functions related to all lease types
  • Serve as a primary point of contact for tenant, landlord, and vendor inquiries related to lease administration matters
  • Communicate professionally and proactively with all parties regarding billing questions, lease obligations, and dispute resolution
  • Maintain and track tenant and vendor certificates of insurance, ensuring coverage meets lease requirements
  • Identify and resolve gaps or lapses in required insurance coverage
  • Ensure lease administration activities are conducted in compliance with applicable legal requirements and client policies
