About The Position

This role is responsible for providing training and system support to new reception employees, managing schedules for non-clinical staff, and processing insurance denials. The Lead Urgent Care Receptionist will also perform all standard receptionist duties, including patient registration, collecting copays, verifying insurance, and managing patient records. This position requires excellent communication and interpersonal skills, proficiency in office technology, and the ability to adapt to changing demands and travel between urgent care locations. The role also involves working with management on process improvement projects and consistently delivering excellent service.

Requirements

  • 3 – 4 years of experience in medical office setting.
  • Strong communication and interpersonal skills required.
  • Experience of current office technology, proficient in computer office application.

Nice To Haves

  • Supervisory experience, preferred.
  • Medical Terminology knowledge preferred.

Responsibilities

  • Precept new employees and provide training for all Reception employees with systems and clerical responsibilities.
  • Create and adjust monthly schedules for all non-clinical staff.
  • Process all insurance denials, investigate why a denial comes back and reprocess with the necessary changes.
  • Perform all Receptionist duties as needed.
  • Provide secretarial/clerical coverage in an efficient, timely and professional manner.
  • Review payment policies and collect copay at time of service.
  • Greet patients and obtain demographic and insurance information and register patient into system.
  • Answer telephone in less than four rings, direct calls to appropriate persons and take accurate messages.
  • Obtain legally acceptable general consents to bill third parties.
  • Secure copies of valid insurance cards and photo identification cards.
  • Open and distribute mail.
  • Fax prescriptions to pharmacy for patients as needed.
  • Refer to Medical Records any patients, outside agencies and physicians looking to obtain copies of medical records.
  • Assist physician in contacting CCHC on call providers or a patient’s primary care physician.
  • Maintain patient records including the retrieval of patient charts to file correspondence, reports, test results, etc.
  • Pull charts for telephone messages as needed.
  • Scan documents into patients’ charts as needed.
  • Refer to billing those patients unable to pay and/or have questions regarding billing.
  • Distribute charts to secretary, nurse or physician as needed.
  • Ensure accurate maintenance of administrative records and work/communicate cooperatively with co-workers, patients, visitors and other personnel within and outside the practice.
  • Demonstrate the ability to adjust to unexpected changes to assure that all responsibilities/duties are met during absences or increased patient volumes.
  • Perform other essential work related duties as requested/directed.
  • Travel between all Urgent Care locations.
  • Work with management to develop and implement process improvement projects with the urgent cares.
