About The Position

This position is for a Lead Scheduler in Community Wide Scheduling, working 40 hours per week, primarily during the day on Monday through Friday, with occasional closing shifts as needed. The role involves coordinating insurance certifications for inpatient and outpatient procedures, ensuring coverage, and managing daily assignments for scheduling staff to guarantee hospital reimbursement. The Lead Scheduler acts as a technical resource for the scheduling team, maintains a database of insurance regulations, and suggests system improvements. They also develop work lists to ensure all pre-certification, referral, verification, and pre-registration tasks are completed before patient appointments. Additionally, the role involves training and educating employees, promoting good communication, maintaining office supplies, removing safety hazards, and supervising scheduling staff and volunteers. The position requires a positive attitude, strong customer service skills, and compliance with performance standards.

Requirements

  • Associates Degree in Business
  • Three years experience in patient registration or related field
  • PC skills and experience
  • Quality conscious and dependable

Responsibilities

  • Coordinates the certification of all inpatients and outpatient procedures to ensure they are covered by patients’ insurance companies.
  • Ensures insurance coverage concurrent with the patient’s appointment by utilizing all available resources and entering correct billing information into Meditech.
  • Delegates and coordinates daily assignments to the scheduling staff to ensure reimbursement by insurance companies to the hospital.
  • Responds to the needs and requests of ancillary departments regarding pre-certification, insurance verification, referrals, and pre-registration of patients.
  • Ensures pre-certification information in the Meditech Admissions and BAR modules is accurate and entered timely.
  • Initiates the investigation of patient problems or concerns.
  • Serves as a technical resource for the scheduling staff to ensure errors are identified and corrected prior to patient’s appointment.
  • Maintains a database of all insurance verification and authorization regulations by payer for use by all hospital registrars and scheduling staff.
  • Suggests system/procedure changes regarding insurance verification to the department manager when necessary to ensure reduced denials and secure payment for services.
  • Attends all third-party training seminars when directed to ensure accurate and timely information is available to self and members of the registration and scheduling staff.
  • Develops work lists to ensure all pre-certs, referrals, verifications, pre-registrations, patient notifications, and patient packets are completed prior to patient appointment.
  • Responds to the needs and requests of ancillary departments regarding scheduling issues.
  • Reflects a positive attitude in daily work, being receptive, cooperative, committed, and optimistic.
  • Ensures job performance reflects compliance with Heywood’s performance standards, including telephone etiquette, providing directions, and first impressions.
  • Maintains current knowledge of rules and regulations of insurance payers so that regulations are met, and patients are enrolled in financial assistance if needed.
  • Completes specific assignments and assists staff in completing work when short staffed or under tight deadlines.
  • Prioritizes and reprioritizes work based on the changing needs of the customers.
  • Develops and maintains accurate records/files to include pre-certifications, referrals, booking sheets, and pre-registrations for all patients with scheduled appointments.
  • Accurately compiles daily, weekly, and monthly data and statistics as requested.
  • Trains and educates employees to help them improve processes and become more efficient, to better our customer needs.
  • Assists in promoting good communication between hospital departments, physicians' offices, and community health care providers, so the needs of our internal and external customers are met.
  • Ensures office supplies and equipment are maintained and available for the department to run efficiently.
  • Immediately removes, or arranges the removal of, safety hazards from the environment.
  • Communicates registration/scheduling errors to the staff and offers clarification of policies and procedures.
  • Supervises and delegates duties to the Scheduling staff and volunteers so department projects are completed accurately and as scheduled.
  • Trains and educates all schedulers, including off-site departments, to help them improve processes and become more efficient, to better our customer needs.
  • Develops schedules that meet the needs of the department and customers.
  • Completes specific assignments and assists staff in completing work when short staffed or under tight deadlines.
