About The Position

The Lead Receptionist is often the first friendly face and voice for residents, families, visitors, and vendors here at GreenFields. This role focuses on creating a welcoming, supportive, and respectful environment by greeting guests with kindness, offering assistance and guidance, and responding to questions with care and professionalism. While managing front desk and administrative tasks, the receptionist helps foster a sense of comfort and trust, supports clear communication throughout the facility, and contributes to a safe and positive experience for everyone who enters.

Requirements

  • Must be able to read, write, speak, and understand the English language.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must possess the ability to deal tactfully with staff, residents, family members visitors, government agencies/staff, and the general public.
  • Must have patience, tact a cheerful disposition and enthusiasm, as well as the willingness to handle challenging residents/associates.
  • Must be able to communicate with the staff, and other department supervisors.
  • Maintains a rapport with the residents and their families.
  • Must not pose a direct threat to the health or safety of other individuals in the workplace.
  • Must attend and participate in continuing educational programs.
  • Must have excellent typing skills
  • Must possess excellent communication and clerical skills.
  • Possess the ability to deal tactfully with various personalities and exhibit maturity and professionalism.
  • Must be able to move intermittently throughout the workday.
  • Must be able to cope with the mental and emotional stress of the position.
  • Must meet the general health requirements set forth by the policies of this facility.

Responsibilities

  • Operates paging/ telephone system as required.
  • Answers telephone, determines nature of call and directs caller to appropriate individual or department.
  • Gives directions/information to visitors, guests, residents, sales representatives, Private Duty Aides, etc.
  • Monitors the presence of all visitors in the building making sure they sign in and out in the log.
  • Supervises the work of the other receptionists; doing their evaluations; hiring, scheduling, and screening new applicants for the reception desk and handling personnel problems that arise with Reception.
  • Reports suspicious persons/information to supervisors immediately.
  • Sorts and distributes incoming business and resident mail.
  • Prepares outgoing letters and parcels for mailing.
  • Accepts delivery of all packages.
  • Accepts and logs all floral deliveries.
  • Accepts and logs all newspaper deliveries.
  • Schedules appointments, processes mail, screen calls, etc.
  • Keeps the Administrator and Director of Nursing advised of meetings and appointments, as necessary.
  • Consults with department heads concerning their administrative needs, and other related areas to assist in eliminating/correcting problem areas, and/or improvement of services.
  • Establishes and maintains an adequate filing system and keeps current documentation for survey and up-to-date files, as well as an up-to-date FSR and Resident Roster.
  • Keeps Administrator and Director of Nursing informed of anything needing his/her immediate attention.
  • Performs administrative requirements such as completing necessary forms, reports, etc., and submitting to Administrator and Director of Nursing, as required.
  • Sells meal and salad tickets; keeps a daily log of sales; maintains cash box balance.
  • Works with department managers to move identified systems to Electronic based workflows when approved by Administration
  • Creates and maintains an atmosphere of warmth, personal interest, and positive emphasis throughout the facility.
  • Attends and participates in in-service education classes as directed.
  • Assists Administrator of Greenfield Health and Rehabilitation Center with credentialing process: Upon receipt of an application to the medical staff, ensures that all references are sent and received.
  • Submits new physician credentials to the Medical Staff Advisory Committee and the Board of Directors for final approval.
  • maintains copies of licenses, registrations and DEA certifications.
  • Oversees copy machine, assuring adequate stocking of supplies.
  • Calls maintenance or enters electronic work orders as necessary.
  • Is knowledgeable of procedures concerning Fire and Safety Policies and Procedures.
  • Operates computer as required.
  • Performs various clerical duties as assigned and outlined in the Receptionists= Policy and Procedure Manual.
  • Adheres to dress code policy at all times.
  • Adheres to time and attendance policy at all times.
