About The Position

The Lead Program Coordinator is a working-lead role providing day-to-day functional leadership for the OhioRISE Program Coordinator team. The role coordinates outreach and intake workflows, supports onboarding and mentoring, reviews documentation, monitors compliance, and identifies process improvements. Working with the Operations Outreach Supervisor and internal partners, the Lead helps promote timely referrals, consistent enrollment and waiver processes, and continuity of member services while maintaining a reduced Program Coordinator workload. The Operations Outreach Supervisor establishes and periodically reviews the reduced workload so the Lead can dedicate time to leadership, quality review, and training. The position coordinates daily workflow, priorities, coverage, and workload distribution within delegated authority. It reviews Program Coordinator work and provides coaching, coordinates corrections, and tracks follow-up. Performance concerns, unresolved compliance issues, and operational barriers are escalated to the Operations Outreach Supervisor. The position has no direct reports or authority over hiring, firing, discipline, formal performance evaluations, or other HR supervisory decisions. The Lead serves as the primary day-to-day resource for OhioRISE referral, enrollment, waiver, transition, and workflow questions; supports onboarding, orientation, mentoring, and cross-training; and monitors referral timeliness, case progression, workload balance, and coverage. It identifies productivity and compliance barriers, recommends process improvements, supports operational projects and reporting, and serves as a liaison with the Operations Outreach Supervisor, including delegated workflow and referral support during supervisor absences. The role conducts routine quality reviews of referrals, enrollments, waiver documentation, transfers, transitions, and disenrollments. It monitors contractual timelines and documentation requirements, coaches staff on corrections, tracks completion, identifies trends and process gaps, and supports quality improvement, audit preparation, and corrective-action follow-up. It collaborates with the Lead Health Data Specialist and Care Coordination leadership to resolve referral, enrollment, and documentation issues. Within the reduced workload established by the Operations Outreach Supervisor, the Lead also performs Program Coordinator duties: coordinating referrals for Intensive and Moderate Care Coordination; conducting outreach to youth and families; explaining OhioRISE services and obtaining consents; monitoring engagement and communicating with the OhioRISE Plan about unsuccessful outreach; coordinating referral routing through transition to the assigned Care Coordinator; and processing enrollments, transfers, disenrollments, and transitions, including waiver entry and exit. Assigned waiver activities include Level of Care assessments, CANS, prior authorizations, annual redeterminations, and flexible fund coordination. The Lead meets documentation, quality, contractual, and adjusted productivity expectations and provides professional, culturally responsive service to families, providers, community partners, and internal departments. Other duties may be assigned.
