This role is for a Full-Time Lead Patient Coordinator at the Freehold Office, responsible for assisting the General Manager in supervising front office operations and staff. Previous healthcare experience is required.

Requirements

  • Must be computer savvy and familiar with Microsoft Word, Excel, and Outlook.

  • Open availability to work during weekdays and weekends.

Nice To Haves

  • 2 - 3 years of experience working in a dermatology/medical environment preferred.
  • Experience using EMR software and patient scheduling systems preferred.
  • Prior experience working in a dermatology / medical environment.

Responsibilities

  • Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients, respective providers, PCs, and MAs.
  • Lead by example, maintain office presence and the highest level of professionalism.
  • Assist the GM with finding coverage for necessary shifts due to call outs, emergencies, or PTO.
  • Train and supervise all front office staff.
  • Check that beginning and end-of-day checklists are performed and signed off daily.
  • Conduct weekly meetings with fellow PCs.
  • Provide weekly feedback to the General Manager to discuss employee progress and assess employees in need of re-training.
  • Oversee that front office staff performs scheduling tasks timely and correctly.
  • Ensure that all scheduling, cancellations, confirmations, and superbill entries are done appropriately.
  • Notify, document, and advise the respective General Manager of all personnel and patient complaints or issues.
  • Maintain a neat and orderly work area throughout the office.
  • Maintain all office equipment and office supply inventory, and follow bi-weekly ordering protocols.
  • Oversee the creation of new medical records for each patient.
  • Obtain all necessary copies of insurance cards, referrals, and demographic information.
  • Assure that staff correctly enters data into the system.
  • Maintain confidentiality of all patient and employee information.
  • Enforce CLIA, OSHA, and HIPAA regulations.
  • Audit PC checklists and ensure closing duties are performed correctly.
  • Oversee that cash deposits are locked up in the appropriate location.
  • Have thorough knowledge of ALL procedures performed at offices.
  • Perform other duties as assigned by supervisor on an as-needed basis.
