About The Position

This role is for a Full-Time Lead Patient Coordinator at the Yonkers Ave Office, responsible for assisting the General Manager in supervising front office operations and staff.

Requirements

  • 2 - 3 years of experience working in a dermatology/medical environment preferred.
  • Experience using EMR software and patient scheduling systems preferred.
  • Computer savvy, familiar with Microsoft Word, Excel, and Outlook.
  • Strong communication, interpersonal, and organizational skills.
  • Excellent patient relation and customer services skills.
  • Professional, reliable, and dedicated.
  • Strong critical thinking, problem resolution skills, and ability to multitask.
  • Open availability to work during weekdays and weekends.

Responsibilities

  • Promote a professional and welcoming atmosphere to enhance patient care and service.
  • Lead by example, maintaining office presence and the highest level of professionalism.
  • Assist the General Manager with finding coverage for shifts due to call-outs, emergencies, or PTO.
  • Train and supervise all front office staff, ensuring daily checklists are completed.
  • Conduct weekly meetings with fellow Patient Coordinators and provide weekly feedback to the General Manager on employee progress and training needs.
  • Oversee the timely and correct performance of scheduling tasks, including scheduling, cancellations, confirmations, and superbill entry.
  • Notify, document, and advise the General Manager of all personnel and patient complaints or issues.
  • Maintain a neat and orderly work area throughout the office.
  • Manage office equipment and office supply inventory, following bi-weekly ordering protocols.
  • Oversee the creation of new patient medical records, obtaining necessary documentation (insurance cards, referrals, demographic information) and ensuring correct data entry.
  • Maintain confidentiality of all patient and employee information.
  • Enforce CLIA, OSHA, and HIPAA regulations.
  • Audit Patient Coordinator checklists and ensure closing duties are performed correctly, including securing cash deposits.
  • Possess thorough knowledge of all procedures performed at the offices.
  • Perform other duties as assigned by the supervisor.
