About The Position

This position supervises all aspects of clinic office operations in conjunction with organizational policies and procedures, maintaining a friendly, professional, patient-oriented environment. The Lead Medical Receptionist coordinates clinic office meetings and front office activities, directs levels of service and patient flow, processes A/P invoices, and oversees staff scheduling and performance assessments. This role requires the ability to make decisions in the process of troubleshooting problems for clinic providers, schedule patient appointments, check patients in positively and professionally, and ensure minimal wait times. The position also involves collecting insurance information, co-pays, and other payments, overseeing billing operations, handling collections at the time of service, and assisting counselors, doctors, and physician assistants as needed. After business hours, responsibilities include logging off computers, locking doors, and turning off equipment. The Lead Medical Receptionist supervises front office staff, works collaboratively as part of a team with effective communication, and demonstrates awareness and sensitivity to cultural issues. The ability to multi-task, manage time, meet deadlines, and remain calm under pressure is essential, along with maintaining confidentiality of client records and compliance with HIPAA and other grant requirements. All work must be performed in compliance with CC Idaho, Joint Commission, OSHA, and HIPAA regulations.

Requirements

  • High School Diploma or GED
  • Ability to read, speak, and write in both English/Spanish in a business setting
  • Three-years of medical receptionist experience
  • Current driver's license and proof of auto insurance
  • Must pass a background check
  • Ability to operate standard office equipment and be proficient in Microsoft Office applications
  • Evidence of no communicable disease
  • Basic knowledge of Electronic Medical Records (EMR), Patient-Centered Medical Home (PCMH), and Uniform Data System (UDS)

Nice To Haves

  • Associates degree
  • 5 years’ experience in front desk operations
  • Current First Aid and CPR certification
  • Basic knowledge of Medicare
  • Basic knowledge of Medicare

Responsibilities

  • Supervise all aspects of clinic office operations in conjunction with organizational policies and procedures, maintaining a friendly, professional, patient-oriented environment
  • Coordinate clinic office meetings and front office activities
  • Direct levels of service and patient flow
  • Process A/P invoices
  • Oversee staff scheduling and performance assessments
  • Ability to make decisions in the process of troubleshooting problems for clinic providers
  • Schedule patient appointments
  • Check in patients in a positive and friendly manner
  • Ensure that patients do not wait more than 10 to 15 minutes past scheduled time of appointment
  • Collect insurance information, co-pays, payments toward balances, and payments toward deductibles
  • Write payment receipts for patients
  • Oversee all aspects of clinic office billing operations
  • Handle the process of collections at time of service
  • Assist counselors, doctors, and physician assistants as needed (making phone calls, pulling charts, checking healthy connections statuses of patients)
  • After business hours: log off computers, lock doors, and turn off radio and lights
  • Supervise front office staff
  • Work as part of a team and exhibit competent and effective communication skills
  • Demonstrate awareness and sensitivity to cultural issues and community practices of children and families of CC Idaho’s client base
  • Ability to multi-task, manage time, meet deadlines and remain calm and professional under pressure
  • Maintain standards of confidentiality of CC Idaho clients and records
  • Maintain strict confidentiality and compliance with HIPAA standards and other grant requirements
  • Perform all work duties and activities in compliance with CC Idaho, Joint Commission, OSHA and HIPAA regulations
