About The Position

The Patient Care Coordinator (PCC) is a Medical Assistant responsible for all back-office preparation for patient care, strictly adhering to practice policies and procedures, including HIPAA. This role involves managing patient clinical information, rooming patients, documenting vital signs and chief complaints, preparing exam rooms, ordering and maintaining supplies, relaying physician instructions, processing prescription refills and labs, administering injections, assisting physicians with procedures, obtaining authorizations, rescheduling appointments, and assisting with medical records. The PCC also ensures compliance with organizational policies, completes work queues, and assists with Quality Assurance practices such as temperature logs, crash cart checklists, autoclave checks, and machine quality control.

Requirements

  • High School graduate or GED required.
  • Training in an accredited program for medical assisting required.
  • Minimum of 2-3 years previous medical office experience in patient care.

Responsibilities

  • Performs selected patient care duties, including collection and management of patient clinical information.
  • Rooms patients, documenting chief complaint, vital signs, and updating health records.
  • Ensures smooth and efficient patient flow.
  • Prepares exam rooms with necessary equipment and supplies.
  • Orders and maintains clinical and office supplies.
  • Relays physician’s instructions, processes prescription refills, form completion, and patient messages.
  • Processes collected laboratory samples.
  • Administers injections as ordered by physicians.
  • Assists physicians with clinical procedures.
  • Obtains physician’s authorization for diagnostic tests, referrals, procedures, and medications.
  • Reschedules patient appointments as necessary.
  • Assists in Medical Records with scanning and filing.
  • Complies with established organizational policies and procedures.
  • Completes assigned work queues.
  • Assists with Quality Assurance practices, including monthly checks of refrigerator and freezer temperatures, crash cart checklists, autoclave, and machine quality control, licensing renewal, and maintenance.
  • Oversees triaging of patients.
  • Oversees and potentially assists physicians with procedures.
  • Makes daily rounds to monitor patient flow and assist with back office functions.
  • Consults with Lead Front Office Receptionist, Site Manager, and Physicians on patient care concerns.
  • Consults with Site Manager regarding personnel issues of direct reports.
  • Obtains necessary authorizations.
  • Supervises externs.
  • Provides leadership and direction to back office staff.
  • Promotes teamwork and moral support among staff.
  • Assists staff in triaging, patient discharge, and patient relations to maintain smooth patient flow.
  • Advises patients of test results.
  • Delegates work assignments and objectives to each shift, including checking expiration dates on medication, prepping and cleaning exam rooms, inventory/stocking supplies, and assisting with quality assurance.
  • Assists in writing performance evaluations.
  • Promotes effective communication between staff and management through staff meetings.
  • Shares responsibility with the office manager for QA programs, including chart audits, resource utilization, log book maintenance, and equipment checks.
  • Assists in the orientation, instruction, and continuing education needs of the staff, including annual reviews and in-service training.
  • Utilizes performance standards to assure uniformity of compliance and competency in clinical skills.
  • Assists in staffing appropriately during sick calls and patient load influx.
  • Understands staffing policies and procedures.
  • Keeps abreast of staff availability and encourages flexibility in covering shifts.
  • Is responsible for covering shifts when other avenues have been exhausted.
  • Collaborates with Site Manager on staffing concerns and problems.
  • Tracks inventory and supplies, including medical supplies, exam room inventory, and in-house medications.
  • Participates in lean 5s workflows.
  • Tracks inventory orders to the appropriate location in the office.
  • Promotes a positive relationship with client corporations.
  • Assists with educational programs.
  • Promotes patient surveys to encourage feedback on services.
