About The Position

The Medical Front Desk Lead provides essential support and administrative services to the office, physicians, and patients in a fast-paced clinical environment. This role primarily focuses on supervising front desk team members to ensure smooth operations, excellent patient service, and consistent guest satisfaction.

Requirements

  • 1–3 years of lead administrative support experience in a medical setting
  • Strong knowledge of health insurance, pre-authorizations, insurance verification, medical terminology, CPT codes, and ICD-9 codes
  • Excellent customer service and communication skills
  • Ability to work in a fast-paced, high-demand environment
  • Team-oriented with flexibility and a willingness to learn
  • Proven ability to multi-task, work under pressure, and maintain attention to detail
  • Must uphold HIPAA compliance at all times
  • Exercise sound judgment and discretion
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general computer systems
  • Ability to establish and maintain effective relationships with patients, staff, and the public
  • High School Diploma or GED equivalent required
  • Frequent travel between office locations may be necessary

Responsibilities

  • Train new front desk staff and ensure consistent training on updated procedures
  • Assist in interviewing and onboarding new Front Desk team members
  • Manage front desk staffing to ensure adequate coverage
  • Oversee office supply inventory; delegate or perform ordering as needed
  • Support annual performance evaluations for Front Desk staff
  • Maintain cleanliness and functionality of the front desk area
  • Greet and assist patients upon arrival; answer questions and address concerns
  • Schedule appointments and manage multiple physician calendars
  • Register new patients and update existing demographic and insurance information
  • Support patient flow by notifying providers of arrivals and managing delays
  • Maintain and update patient records, including data entry, faxing, and scanning
  • Collect payments (copays, deductibles, coinsurance, balances) and sell OTC items
  • Verify insurance eligibility and referrals for upcoming appointments
  • Maintain records for orthotics received and coordinate follow-up appointments
  • Prepare daily reports, deposit slips, and upload documentation to shared files
  • Ensure accounts receivable/payable changes are updated accurately in records
  • Maintain office inventory and equipment; coordinate service and repairs
