About The Position

The Lead Fleet Associate oversees and manages the fleet of vehicles in a branch - coordinating vehicle repairs with vendors, and ensuring vehicles are cleaned and prepped for customers. Atlanta is our largest branch outside of New York City. Given the scale of operations, the Lead Fleet Associate plays an integral role ensuring that company guidelines for cleaning, documentation, vehicle movements, preventative maintenance and repairs are strictly followed to maximize fleet availability, and minimize the time that vehicles are out-of-service. This role reports to the Regional Fleet Manager and collaborates closely with the on-site Branch Manager regarding daily and weekly priorities. You will also work with a Detailer/Lot Attendant who focuses primarily on cleaning and detailing our vehicles.

Requirements

  • 2 or more years of experience in an auto-related or fleet management environment (e.g. rental car, repair/service shop, parts or tire dealer, auto dealership, auto insurance/titling/registration etc.)
  • Organized and enjoy maintaining accurate records so we have up-to-date on every vehicle at all times.
  • Persistent in following up to ensure external vendors provide maintenance and repair services in a timely fashion at a fair price.
  • Eye for detail and take pride in doing the small things that create an outstanding customer experience.
  • Enjoy variety, are flexible and willing to pitch in where needed depending on what’s happening that day – both the expected and unexpected.
  • Must be able to work rotating shifts which may include 8 hours on the weekend
  • Experience updating databases or inventory systems is a must.
  • Experience in the automotive field is needed (dealership, auto service, collision/body repair, service estimating etc.)
  • Valid Driver’s License and a clean driving record required.
  • Strong leadership, communication & time management.
  • Knowledge of vehicle maintenance and repair.
  • Understanding of safety regulations.

Responsibilities

  • Ensure a high level of vehicle readiness to maximize fleet availability and utilization.
  • Maintain accurate and up-to-date records of fleet operations including mileage and service history; accurately update information in fleet databases in a timely manner.
  • Collaborate with the Branch Manager to keep current with all equipment issues and to facilitate all needed cleaning, maintenance, and repairs.
  • Serve as a point of contact between the fleet manager and repair facilities.
  • Schedule and track vehicle preventative maintenance and repairs; communicate with vendors and service providers for vehicle pickup and drop off.
  • Troubleshoot mechanical issues in the field and source local repairs with a sense of urgency.
  • Assess estimates and negotiate repair prices when needed to prevent upselling of service work from repair facilities.
  • Monitor invoices to ensure accurate billing for completed services and repairs.
  • Assist in tracking and managing the inventory of spare parts and supplies for vehicle maintenance.
  • Possess general vehicle repair knowledge (i.e. change a tire, replace windshield wipers, install engine and cabin air filters, check fluid levels); willing to pitch in as needed on these tasks and guide Fleet Associates/Detailers.
  • Clean and detail vehicles as needed.
  • Provide daily and weekly fleet metrics for management review.
  • Coordinate with other departments as needed to ensure maximum fleet availability and cohesion between departments.
  • Assess departmental needs and build a team of fleet associate(s).
  • Perform other duties as assigned.
