About The Position

The Telfer School of Management at the University of Ottawa is seeking a Lead Coordinator, Event Management to plan, manage, and promote events. This role reports to the Intermediate Specialist, Event Management and is responsible for organizing events that engage alumni, raise community awareness, foster strategic partnerships, and support recruitment, fundraising, and research activities. The Telfer School of Management is an academic institution with a large student body, faculty, staff, and alumni, committed to helping Canada reach its potential through better business practices.

Requirements

  • College diploma in marketing, event management, fundraising, or communications, or an equivalent combination of education, training and experience.
  • Minimum five years’ experience in a similar role.
  • Proven ability to formulate creative ideas and to analyze, evaluate and negotiate details to create a successful event.
  • Strong interpersonal and communication skills.
  • Excellent problem-solving skills.
  • Ability to work well under pressure and meet strict deadlines.
  • Self-reliance and good judgment.
  • Project management experience.
  • Experience in supervising teams and volunteers.
  • Knowledge of budget management policies and practices.
  • Strong organizational skills.
  • Knowledge of computer systems and software such as Windows, word processors, web applications and graphic design software, social media platforms, spreadsheets, databases, presentation software, internet browsers and email.
  • Bilingualism – French and English (spoken and written).

Responsibilities

  • Plans and designs on- and off-campus events for the entire faculty or service, discussing with clients, identifying requirements and deadlines, setting budgets, and coordinating all necessary steps.
  • Organizes and manages event logistics including reservations, rentals, registration, invitations, catering, and equipment setup.
  • Supervises the running of events, resolves problems, and acts as a University representative and host.
  • Hires, trains, coordinates, and supervises individuals such as volunteers and caterers.
  • Manages event budgets, ensuring compliance with policies and staying within limits.
  • Participates in planning and designing marketing plans for events to maximize awareness and participation.
  • Develops performance indicators, monitors performance through consultations and surveys, analyzes results, and makes improvements to event protocols.
  • Writes reports, summaries, and post-event evaluations.
  • Establishes and maintains effective working relationships with suppliers and internal/external partners.
