About The Position

The University of Ottawa Faculty of Medicine is seeking a Lead Coordinator for Event Management. This role is responsible for planning, managing, and promoting events that engage alumni, raise community awareness, foster strategic partnerships, and support recruitment, fundraising, and research activities. The position is a replacement for a temporary role and is an employee type position with an anticipated duration of 12 months. The Faculty of Medicine is a leading bilingual medical faculty in Canada, known for its state-of-the-art facilities, world-class physicians and scientists, and high research impact.

Requirements

  • College diploma in marketing, event management, fundraising, or communications, or an equivalent combination of education, training and experience.
  • Minimum five years’ experience in a similar role.
  • Proven ability to formulate creative ideas and to analyze, evaluate and negotiate details to create a successful event.
  • Strong interpersonal and communication skills.
  • Excellent problem-solving skills.
  • Ability to work under pressure and meet strict deadlines.
  • Self-reliance and good judgment.
  • Project management experience.
  • Experience in supervising teams and volunteers.
  • Knowledge of budget management policies and practices.
  • Strong organizational skills.
  • Knowledge of computer systems and software such as Windows, word processors, web applications and graphic design software, social media platforms, spreadsheets, databases, presentation software, internet browsers and email.
  • Bilingualism – French and English (spoken and written).

Responsibilities

  • Plans and designs on- and off-campus events for the entire faculty or service, engaging alumni, raising community awareness, building ties with strategic partners, and supporting recruitment, fundraising, and research activities.
  • Discusses with clients to identify requirements and deadlines, sets budgets, and plans and coordinates all steps required to conduct the event.
  • Organizes and manages event logistics, including reservations, rentals, registration, invitations, catering, equipment installation, and space setup.
  • Supervises the running of events and resolves any arising problems.
  • Welcomes guests and acts as the University representative and host for each event.
  • Hires and trains individuals such as volunteers and caterers, and coordinates and supervises their work to ensure duties are carried out to the required standard.
  • Manages event-related budgets, staying within limits and complying with related policies, regulations, and procedures.
  • Participates in planning and designing marketing plans for events to maximize stakeholder awareness and participation.
