About The Position

The Lead Medical Assistant (Lead MA) supports the Health Center Providers, management team, and clinical staff. They serve as an extension of Health Center management by providing leadership to medical assistants (MAs) and ensuring high-quality patient care and workflow efficiency. This position is typically assigned to a single POD and coordinate with other departments within the Health Center to ensure smooth day-to-day functioning. The Lead Medical Assistant provides clinical and administrative support while supervising and mentoring medical assistant staff. This role models professional conduct, and promotes a positive, collaborative work environment. The MA Lead serves as a resource for staff and providers by supporting organizational policies and quality standards.

  • Minimum three (3) to five (5) years’ experience, with prior leadership or supervisory experience preferred.
  • Family practice or pediatric clinic experience preferred.
  • Graduate of an accredited Medical Assisting Program
  • Bilingual English/Spanish preferred, written, and oral. (Note: Medical Language Certification will be required with 90 days of start date; training is available)
  • Current CPR Certification; or the ability to become certified with 60 days of start date.
  • High School Diploma or GED; Associate degree or higher in a related field preferred.
  • Strong understanding of HIPAA and patient confidentiality requirements.
  • Demonstrated ability to train, guide, and support staff in daily operations.

Responsibilities

  • Perform and oversee routine clinical duties, including taking vital signs, rooming patients, administering medications and injections, and completing point-of-care testing as ordered.
  • Ensure exam rooms are properly stocked, sanitized, and prepared for patient care.
  • Assist providers with chaperoning, procedures, and treatments as needed.
  • Anticipate and respond to provider needs to maximize efficiency and quality of care.
  • Support patients by delivering quality service with professionalism, compassion, and confidentiality at all times.
  • Address patient concerns when appropriate and escalate issues to management as needed.
  • Uphold patient confidentiality in accordance with HIPAA at all times.
  • Oversee daily operations of the assigned POD or area to ensure efficient workflow and timely patient care.
  • Coordinate staff schedules and daily assignments to maintain adequate coverage.
  • Delegate clinical and administrative tasks appropriately while monitoring completion and performance.
  • Ensure medical assistants align with provider workflows and expectations.
  • Act as a liaison between providers, staff, and management to address and resolve workflow or patient concerns.
  • Contribute to clinical workflow improvement and process efficiency by recommending changes based on observations and staff feedback.
  • Support the implementation of new policies, workflows, and technology.
  • Participate in staff meetings and contribute to problem-solving and improvement efforts.
  • Support and guide medical assistants by delegating tasks, monitoring performance, and providing on-the-job coaching.
  • Train and mentor new medical assistants, ensuring competency in clinical skills, workflows, policies, and procedures.
  • As directed by the Health Center management team, provide ongoing education, feedback, and support for staff development.
  • Serve as a resource for medical assistants, providers, and team members regarding District policies, procedures, workflows, and clinical questions.
  • Implement and oversee a “Buddy System” that pairs new or less experienced medical assistants with seasoned staff for support and guidance.
  • Ensure new team members are integrated smoothly into clinic workflows, policies, and culture.
  • Monitor the progress of buddy partnerships and provide feedback to support staff competency and confidence.
  • Train and mentor new medical assistants and MA students
  • Ensure all Medical Assistants remain compliant with required annual training, competencies, and regulatory education within designated timeframes.
  • Serve as an EHR “super user” and primary instructor within the assigned work area.
  • Become familiar with patient scheduling, charting, and billing functions within the EHR system.
  • Ensure staff are trained and compliant with EHR documentation standards, including real-time documentation and completion of encounter notes.
  • Ensure accurate data entry into the EHR and maintain up-to-date patient records.
  • Answer incoming calls professionally, screen calls, take detailed messages, and route information appropriately using the EHR system.
  • Prioritize patient calls and relay information to providers in a timely manner.
  • Schedule and confirm appointments, verify insurance eligibility, and assist patients with understanding coverage and appointment instructions.
  • Follow up on appointment cancellations, no-shows, and rescheduling requests in a timely and respectful manner.
  • Provide front desk support when necessary, including greeting patients, verifying insurance, collecting payments, and reconciling daily schedules.
  • Learn and assist with the referral process, including creating, submitting, and tracking patient referrals.
  • Support medical records management by understanding release-of-information processes and ensuring records are filed, scanned, and uploaded appropriately.
  • Participate in patient engagement activities, including outreach calls, appointment reminders, and care coordination efforts to improve patient satisfaction and follow-up adherence.
  • Ensure compliance with infection control, safety, and regulatory standards.
  • Participate in quality improvement initiatives, documentation reviews, and audits.
  • Support clinic leadership with reporting and data collection for quality improvement projects or audits.
  • Monitor supply inventory for the assigned POD and ensure timely ordering and restocking.
  • Lead by example in demonstrating professionalism, integrity, accountability, and sound judgment.
  • Model and promote respectful communication and teamwork in all interactions.
  • Foster a positive, respectful, and inclusive work environment.
  • Encourage teamwork, collaboration, and mutual support among staff.
