About The Position

The Position Incumbent works under the direction of a Bureau Captain or designee, developing processes and performing clerical and administrative support for the efficient operation of the Sheriff's Department in strict adherence to established department procedures and statutory regulations.

Requirements

  • High school diploma or equivalent required.
  • Two (2) years of clerical experience.
  • Completion of a pre-employment criminal record check and conditional offer drug screen required.
  • Must complete all job-related training and certification, as required by state and federal statutes and department procedures within the first six (6) months of employment.
  • Equivalent combination of education and work experience may be substituted for requirements on a year-for-year basis.

Responsibilities

  • Review and process various legal documents (e.g. warrants, protections orders, affidavits, official records of arrests and criminal investigations, court orders, subpoenas, bulletins, accident reports).
  • Distribute and disseminate records and reports to designated individuals or authorities.
  • Establish and maintain effective work relationships with clients, supervisors, County employees, elected officials, attorneys, law enforcement, judges, other agencies, and the public.
  • Comply with Civil Service policies and regulations, collective bargaining agreements, County policies, department policies and laws to create a cooperative, safe, respectful and quality work environment.
  • Update legal documents establishing and maintaining official records.
  • Prepare reports of department activities.
  • Monitor and utilize state and federal systems (e.g. NCIC, NCIS) disseminating information.
  • Assist customers obtaining document copies (e.g. accident reports, criminal history records checks, firearm permits).
  • Collect and process fees, balance daily receipts, and forward for deposit.
  • Answer and direct calls; greet and direct visitors issuing visitor passes and requesting an escort.
  • Respond to questions and inquiries within level of expertise, referring unusual questions and inquiries to supervisors.
  • Conduct research, update criminal records, determine inspected vehicle’s ownership status and aid in Sheriff Office’s operations.
  • Perform basic bookkeeping and clerical duties (e.g. filing, scanning, drafting letters, copying, faxing, processing mail).
  • Prepare and maintain various records, correspondence, and other documents.
  • Code, type, and maintain fingerprinting cards, and disseminate information to designated state and federal authorities.
  • Maintain office supply inventory; request repair service for office equipment.
  • Maintain knowledge and job skills (e.g. training, seminars, webinars, meetings, continuing education, conferences).
  • Assist in performing duties of Law Enforcement Technician II based on level of expertise.
  • Report to work at assigned location with regular, consistent attendance.
  • Perform other duties as assigned and directed.
