About The Position

The City of Kettering is seeking qualified, detail-oriented, and highly organized candidates to fill two Law Clerk positions within the Law Department. One position will support the City’s civil legal functions, while the other will support the criminal/prosecution functions of the Law Department. Both positions provide an opportunity to work in a professional municipal law environment while supporting attorneys and assisting with a variety of legal matters. The City is conducting one recruitment process to fill both Law Clerk vacancies. As part of the online application, applicants will have the opportunity to indicate whether they have a preference for the Civil Law Clerk position, the Criminal Law Clerk position, or whether they would like to be considered for either position.

  • Ability to establish and maintain effective working relationships with all levels of staff, City officials, volunteers and the general public.
  • Good working knowledge of legal principles and practices, office terminology, procedures and equipment, business arithmetic, and English.
  • Some knowledge of elementary bookkeeping.
  • Proficiency and accuracy in typing.
  • Excellent computer processing skills with proficiency in the use of Microsoft Office (particularly Word, Excel, and Access), Adobe Acrobat, and other related software programs.
  • Ability to maintain complex clerical records and prepare reports from such sources.
  • Ability to make routine decisions in accordance with laws, ordinances, regulations, and established policies.
  • Ability to understand and follow complex oral and written directions; accurate spelling and grammar skills; general clerical aptitude; uses good judgment; displays tact and courtesy.
  • Aptitude and ability for learning new technology and software.
  • Experience in clerical or administrative work involving drafting correspondence, documents, and forms, typing, filing, and office organization.
  • High school diploma or equivalent with additional business school training relating to clerical, legal, and office skills, or any equivalent combination of training and experience that provides the required knowledge and skills.

Nice To Haves

  • Paralegal training or experience is a plus (Civil Law Clerk).
  • Paralegal training or experience is preferred (Criminal Law Clerk).
  • Experience in a law office or in municipal or other government organizations is preferred.

Responsibilities

  • Serves as a receptionist, welcomes and assists office visitors; answers telephone, takes detailed messages, directs callers to the proper person or office, and responds to public inquiries.
  • Composes, types, proofs, and replies to emails, letters, memoranda, records, reports, ordinances, resolutions, and other materials in accordance with established procedures.
  • Processes Department mail.
  • Assists in responding to public records requests, subpoenas, and requests for information (Civil Law Clerk).
  • Assists in responding to discovery requests (Criminal Law Clerk).
  • Assists in organization, filing, and routing contracts for signature (Civil Law Clerk).
  • General copying, filing, and organization of files and documents.
  • Maintains the Department task tracker and tickler files.
  • Assists with management and payment of bills, purchase requisitions, purchase orders, check requests, budget management, invoices, payroll, timecards, and leave requests (Civil Law Clerk).
  • Orders supplies and equipment; keeps records of supplies disbursed.
  • Maintains legal library.
  • Responsible for managing files in compliance with records retention schedules and other federal and state requirements.
  • Maintains calendar of events and makes appointments.
  • Operates computers, scanners, printers, copy machine, telephone, facsimile, and other office machines.
  • Performs other duties as assigned.
  • Serves as a receptionist, welcomes and assists office visitors like crime victims, defendants, witnesses, attorneys, judges, police officers, and court staff (Criminal Law Clerk).
