About The Position

Westgate Resorts is seeking a detail-oriented Administrative Assistant to support daily office operations in their Laundry Facility located in Orlando, FL. This is a full-time, on-site role that involves scheduling meetings, managing phone and email communications, preparing reports, coordinating travel, and handling confidential information. The ideal candidate will possess strong organizational skills, proficiency in Microsoft Office, and prior experience in an administrative or office support capacity.

Requirements

  • Regularly required to sit and use hands to finger, handle, or feel
  • Frequently required to talk or hear
  • Occasionally required to stand, walk, bend, and reach
  • May be required to stand for extended periods of time throughout the workday
  • Must be able to lift, carry, push, and pull up to 50 pounds with or without reasonable accommodation
  • High school diploma or equivalent required
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Strong attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning abilities
  • Excellent time management skills with the ability to multitask and prioritize workload

Nice To Haves

  • College degree preferred
  • Previous experience in an Administrative Assistant, Office Assistant, or Administrative Support role preferred
  • Knowledge of office management systems (Oracle Fusion/ADP) preferred but not required

Responsibilities

  • Answer, screen, and direct incoming phone calls and inquiries
  • Organize and schedule meetings, appointments, and conference calls
  • Able to assist with other Laundry Duties as needed
  • Maintain contact lists, calendars, and office schedules
  • Prepare, produce, and distribute correspondence including letters, memos, emails, and forms
  • Assist with preparation of reports, presentations, and meeting materials
  • Develop and maintain electronic and physical filing systems
  • Submit, track, and reconcile expense reports and invoices
  • Greet and assist office visitors and vendors professionally
  • Take accurate meeting minutes and prepare follow-up documentation
  • Handle confidential and sensitive information with discretion
  • Coordinate office procedures and equipment maintenance or repairs
  • Order, track, and maintain office supply inventory
  • Perform general clerical duties including filing, copying, scanning, printing, and binding
