About The Position

The Language & Culture Administrative Assistant serves as a hybrid administrative and program coordination role supporting the Language and Culture department. This position ensures efficient administrative operations while coordinating logistics and execution of language and cultural programs. The role owns administrative systems, documentation, and workflow coordination, while supporting program delivery through event coordination, community engagement, and grant reporting. The position works closely with program leadership but does not own program strategy or curriculum development. This is a public-facing role requiring strong communication, relationship-building, and cultural competency across Tribal leadership, Elders, and community partners. Success in this role is defined by operational organization, timely execution of administrative and reporting processes, and effective coordination across leadership, staff, Tribal members, and community partners.

Requirements

  • High School Diploma or General Education Degree (GED).
  • Three (3) to five (5) years of progressively responsible office administration experience providing administrative support to management or an equivalent combination of education and experience is preferred
  • Working knowledge of the Kalispel culture, traditions and history is required
  • Demonstrated ability to build and maintain respectful, effective relationships with Tribal Elders and Tribal members, including engagement with elders from surrounding tribes
  • Demonstrated experience working with tribal communities, cultural programs, or community-based organizations preferred
  • Strong administrative coordination and organizational management capability across multiple priorities and deadlines
  • Proficiency in business systems and office applications, including Microsoft Office and internal workforce systems
  • Strong written and verbal communication skills, including public speaking and audience engagement
  • Demonstrated ability to build trust and communicate respectfully with Tribal Elders, community members, and partner organizations
  • Ability to operate effectively in culturally diverse environments, including community gatherings, classrooms, and formal meetings
  • Demonstrated discretion, diplomacy, and ability to handle sensitive or confidential information
  • Strong problem-solving ability in environments with evolving processes and limited standardization
  • Demonstrated commitment and ability to learn, use, and support the Kalispel-Salish language and language revitalization efforts
  • Ability to obtain and maintain Choose an item.
  • Ability to work flexible schedules, including evenings and weekends as required to support community programs and events
  • Ability to maintain consistent, regular attendance
  • CPR/First Aid Certification (or ability to obtain within required timeframe)
  • Current TB test clearance (as required for program participation)
  • First People’s Language and Culture Certification (or ability to obtain)
  • Valid driver’s license and insurability if operating a Tribal vehicle

Responsibilities

  • Manages calendars, meetings, travel arrangements, and administrative workflows for department leadership
  • Maintains organized systems for documentation, reporting, correspondence, and internal communication
  • Processes purchasing, requisitions, reimbursements, and administrative transactions in accordance with Tribal procedures
  • Tracks assignments, deadlines, and follow-ups to ensure timely execution and accountability
  • Coordinates logistics for language classes, cultural events, outreach activities, and program delivery
  • Ensures materials, scheduling, and communication support successful program execution
  • Facilitates coordination between instructors, staff, leadership, and external partners
  • Supports execution of events and activities, including evening and weekend programming
  • Supports preparation, tracking, and submission of grant reports and required documentation
  • Maintains reporting systems and program records to ensure compliance and audit readiness
  • Assists with budget tracking and program-related administrative documentation
  • Coordinates collection of data and inputs required for reporting and funding requirements
  • Serves as a liaison with schools, colleges, Tribal leadership, and community partners to support language and cultural initiatives
  • Coordinates communication and engagement with Tribal Elders, members, families, internal staff, leadership, and partner organizations
  • Delivers presentations and speaks publicly to Tribal leadership, Elders, parents, community members, and partner groups to support program awareness and participation
  • Represents the department in community and intertribal settings, demonstrating positive, effective, and culturally appropriate communication across diverse audiences, including Tribal Elders, children, families, staff, leadership, and community partners
