About The Position

This role provides advanced coordination, administrative, and operational support for land acquisition, entitlement, and land development activities. Working under limited supervision, this role applies broad technical knowledge and process expertise to manage documentation, workflows, and project milestones across multiple communities. The position serves as a key liaison between internal teams, consultants, municipalities, and external partners, ensuring timely execution, compliance, and organized project progression. The role also mentors junior staff and contributes to process improvements that enhance team efficiency and project outcomes.

Requirements

  • High school diploma or equivalent.
  • 3–5 years of relevant experience, or 5–7 years of equivalent experience, in land coordination, real estate support, construction administration, or related work.
  • Broad knowledge of land acquisition and development workflows, documentation requirements, and operational processes.
  • Strong organizational and time-management skills with the ability to handle varied and concurrent responsibilities.
  • Effective communication skills for interacting with internal teams and external partners.
  • Ability to interpret and apply established procedures to resolve routine and moderately complex issues.
  • Proficiency with office software, data tracking tools, mapping platforms, and document management systems.
  • High attention to detail and accuracy in preparing and reviewing documentation.
  • Strong problem-solving abilities with the capacity to understand cross-functional impacts.
  • Dependable follow-through and ability to work independently with limited supervision.
  • Customer-service orientation and commitment to team support.

Nice To Haves

  • Associate’s degree in business, real estate, planning, or a related field; or equivalent experience.
  • Experience in the homebuilding, real estate development, or land acquisition environment.
  • Familiarity with permitting, entitlement, or due diligence documentation.

Responsibilities

  • Oversee and coordinate the preparation, review, routing, and filing of land acquisition and development documents, including contracts, agreements, exhibits, due diligence materials, permits, and approvals.
  • Maintain and manage project trackers, sequence sheets, reports, and databases to monitor progress on acquisition, entitlement, and development milestones.
  • Support due diligence activities by organizing materials, coordinating site visits, and assisting with research related to zoning, entitlements, utilities, environmental reports, surveys, and regulatory requirements.
  • Serve as a primary liaison with consultants, legal teams, municipalities, utility providers, brokers, and internal partners such as Finance, Construction, and Accounting.
  • Coordinate the flow of documentation, applications, bonds, and approvals with regulatory agencies to ensure timely processing and compliance.
  • Assist in contract and invoice management, including collection of supporting documentation, review for accuracy, coding, and coordination with finance teams.
  • Support preparation of presentations, maps, project summaries, and leadership reports for internal and cross-functional meetings.
  • Schedule and coordinate meetings, inspections, site visits, and consultant activities related to land projects.
  • Review moderately complex project documents for accuracy, completeness, and adherence to standards, escalating nonroutine issues as needed.
  • Provide guidance, mentorship, and training to other coordinators or administrative staff.
  • Monitor compliance with internal procedures, contract requirements, and company policies, escalating discrepancies or risks as appropriate.
  • Recommend and implement process improvements to enhance team efficiency, data management, and workflow consistency.
  • Participate in HOA coordination, bond tracking, pre-construction applications, and other administrative elements essential to community readiness.
