About The Position

We are currently seeking an experienced Labour & Employment Legal Assistant to join our Downtown Toronto office. As an important member of our team, the Labour & Employment Legal Assistant will play a key role in supporting lawyers within our Labour & Employment practice. The ideal candidate will possess strong legal administrative and practice management skills, exceptional attention to detail, and the ability to effectively manage multiple priorities in a fast-paced labour and employment environment.

Requirements

  • Post-secondary education in Legal Administration, Law Clerk, or a related discipline.
  • Minimum 3 years of experience as a Legal Assistant in a law firm environment, preferably supporting a Labour & Employment or Litigation practice.
  • Strong organizational, time management, and multitasking skills with the ability to manage competing priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to producing high-quality work.
  • Ability to work independently while contributing effectively within a team environment.
  • Proficiency with Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint.
  • Demonstrated professionalism, discretion, and ability to maintain strict confidentiality.

Nice To Haves

  • Experience with document management, time and billing, and practice management software is an asset.

Responsibilities

  • Provide administrative and legal support to lawyers in a busy Labour & Employment practice.
  • Manage calendars, schedule meetings, hearings, mediations, arbitrations, and client appointments.
  • Monitor deadlines and maintain reminder systems to ensure timely completion of tasks.
  • Open, maintain, and close files in accordance with firm procedures.
  • Maintain organized and up-to-date electronic filing systems.
  • Prepare docket entries, assist with billing processes, expense submissions, and time entry management.
  • Prepare, format, revise, and proofread correspondence, legal documents, briefs, presentations, reports, and other practice-related materials.
  • Assist with the preparation, organization, and filing of materials for labour arbitrations, grievance proceedings, mediations, collective bargaining matters, and administrative tribunal proceedings, including matters before the Ontario Labour Relations Board and Human Rights Tribunal of Ontario.
  • Act as a liaison between lawyers and internal and external stakeholders to facilitate effective communication and file progression.
  • Perform other administrative and legal support duties as required.
