About The Position

As a Laboratory Administrative Coordinator, you provide high-level administrative, operational, and data management support for clinical laboratory operations. You serve as a key liaison between laboratory personnel, pathology staff, clients, vendors, and internal stakeholders to ensure the efficient processing, tracking, documentation, and reporting of clinical pathology specimens. This is a full-time position with excellent day-one benefits.

Requirements

  • Excellent skillset working with computers and data entry skills utilizing the most up-to-date programs.
  • Advanced Microsoft Office proficiency, including Excel (formulas, pivot tables, data cleanup, basic analysis), and strong use of Outlook, Word, Teams, and SharePoint for workflow coordination.
  • Able to collaborate with other labs in a professional manner as well as utilizing email and Microsoft Teams on a daily basis.
  • A scientific or laboratory background.
  • Ability to understand laboratory sample data terminology and processes.
  • High organizational discipline, and ability to manage calendars, documents, priorities, and competing deadlines with structure and consistency.
  • Proactive ownership, ability to take charge of situations, follow through without reminders, and keep others informed.
  • Process-minded thinking by creating checklists, improving workflows, and building repeatable systems rather than reinventing tasks each time.
  • Good attention to detail and strong multitasking ability with the ability to shift priorities.
  • Proven track record of managing administrative tasks in a fast-paced environment and the ability to self-manage.
  • Excellent presentation skills and knowledge of how to prepare material for meeting agendas.
  • Potential exposure to biohazards, agents known to cause zoonotic diseases, and hazardous chemicals.

Responsibilities

  • Coordinate and monitor the receipt, accessioning, tracking, storage, and disposition of clinical pathology specimens.
  • Maintain specimen records and ensure complete documentation throughout the testing lifecycle.
  • Support laboratory workflow processes by monitoring turnaround times, sample status, and workflow efficiency metrics.
  • Manage laboratory reports, correspondence, meeting schedules, and operational documentation.
  • Assist study managers with operational projects, clinical trials, compliance-related activities and quality assurance checks.
  • Investigate specimen discrepancies, missing documentation, and workflow issues and facilitate timely resolution.
  • Utilize Laboratory Information Systems (LIS), Laboratory Information Management Systems (LIMS), and other laboratory databases to manage specimen and testing information.
  • Perform data entry, validation, quality checks, and report generation with a high degree of accuracy.
  • Support laboratory audits, inspections, and accreditation activities.
