About The Position

This position is responsible for developing, coordinating, implementing, promoting, and supervising recreation programming. The role supports division operations, activities, programs, special events, and services. The Coordinator will monitor resource allocation, assist with the budget process, and provide administrative and technical support to department staff. This role also involves coordinating and overseeing the development of new and existing special events and activities, including timelines, vendors, and volunteers, and providing on-site support. Additionally, the Coordinator will develop new community events, partnerships, and sponsorship acquisitions, and assist with existing ones. They will process pre-event and post-event correspondence and surveys, maintain customer/attendee databases, and process events into CivicRec. The Coordinator serves as a liaison for internal and external stakeholders in coordinating special events and assists organizations with the special event permit process.

Requirements

  • High School Diploma or equivalent
  • Six (6) years of recreation experience or related field
  • One (1) year of supervisory experience
  • If Fitness: one (1) year experience organizing and providing general guidance over fitness, wellness, or general recreation activities
  • If Adapted & Inclusive: one (1) year experience organizing and providing general guidance over the activities of individuals with physical, intellectual, and/or developmental disabilities
  • Knowledge of applicable Federal and State laws parks and recreation.
  • Knowledge of leisure, social, health and legal needs of individuals with disabilities at all age levels.
  • Knowledge of CPR/AED first aid procedures.
  • Knowledge of childhood development that supports recreational activities that are organized, age appropriate and maintain interest.
  • Knowledge of principles and theories of inclusion, universal design, and accessibility.
  • Knowledge of the concepts and practices to integrate recreation programs for special needs population, training in behavior management, positive behavioral support as well as age-appropriate development.
  • If Adapted & Inclusive: Knowledge of comprehension on assistive and adaptive equipment including use, maintenance, and market options.
  • If Special Events: Knowledge of special event equipment, vendor selection, and event trends.
  • Skill in moderate problem solving; identifying moderate-to-complex problems and reviewing related information to develop and evaluate options and implement solutions.
  • Skill at the intermediate level, working with Microsoft Office 365, and other software systems to complete work.
  • Skill in providing exceptional service to internal and external customers.
  • Ability to work independently to manage multiple work tasks while balancing competing priorities with attention to detail and in a fast-paced environment.

  • Must have and maintain a valid Class “C” Driver’s License and valid state required minimum automobile liability insurance prior to employment (must obtain Texas Class “C” driver’s license and state required minimum automobile liability insurance within 90 days of hire per state law)
  • Must pass a drug test, driver’s license check, criminal history background check, and social security number verification.
  • Must pass a physical examination.
  • Must have or obtain Red Cross or American Heart Association Adult CPR, AED & First Aid Certification within 30 days of employment (online training is not valid).
  • For Aquatics, must have or obtain Red Cross Adult and Child CPR, AED & First Aid Certification within 30 days of employment (online training is not valid).
  • For Aquatics, must obtain a Lifeguard certification within six (6) months of employment.
  • For Fitness positions, must obtain a nationally recognized fitness certification, one or more of the following: Les Mills, ACE, AFFA, ACSM, NASM, etc., within six (6) months of employment.
  • For Preschool Directors, must meet the Texas Department of Family and Protective Service (TXDFPS) Minimum Standards of Care for Child-Care Centers within 12 months of employment.
  • For Preschool positions, must be able to pass FBI fingerprinting and background check as required by TXDFPS childcare licensing.
  • For Adapted & Inclusive, must obtain BlazeAmerica Certified Adaptive Recreation and Sports Specialist I & II or ability to obtain within three months of employment.
  • Perform preventive maintenance on tools and equipment; ensure equipment is in safe operating condition.
  • Follow established safety procedures and techniques to perform job duties, including lifting and climbing; operate tools and equipment according to established safety procedures.
  • Promptly report unsafe conditions in the work area and/or any conditions that are not immediately correctable to the supervisor.
  • Must be able to work overtime or outside of normal business hours, as required.

Nice To Haves

  • If Fitness one (1) year experience organizing and providing general guidance over fitness, wellness, or general recreation activities
  • If Adapted & Inclusive, if do not current possess, must obtain BlazeAmerica Certified Adaptive Recreation and Sports Specialist I & II or ability to obtain within three months of employment
  • If aquatics, one (1) full summer season (May – August) as a certified American Red Cross Water Safety Instructor.

Responsibilities

  • Supervise assigned staff, volunteers, and contract instructors.
  • Prepare facilities for programs, rentals, and special events.
  • Monitor work tasks and staff scheduling, and assist with payroll.
  • Develop and implement programs and special events by assessing needs, ensuring goals are met, scheduling dates, reserving facilities, and collaborating with Marketing Administrator for promotion.
  • Maintain budget oversight of program area, including negotiating fees, preparing cost analyses, and purchasing/maintaining equipment and materials.
  • Act as a liaison with external stakeholders to establish and implement specialty programs.
  • Investigate and respond to customer inquiries and complaints, and respond appropriately to emergencies.
  • Monitor resource allocation by maintaining program area supplies and equipment, evaluating budgetary needs, and processing vendor and instructor payments.
  • Assist with report preparation related to departmental activities and other administrative tasks.
  • Acquire job-specific certifications and training documentation.
  • Provide recommendations to leaders regarding continuous improvements and process efficiencies.
  • May represent the facility/program supervisor in their absence.
  • Coordinate and oversee development of new and existing events and activities, timelines, vendors, and volunteers; provide on-site support including set-up, take-down, safety, and communications.
  • Develop new community events, partnerships, and sponsorship acquisitions; assist with existing events, partnerships, and sponsorships.
  • Process pre-event and post-event correspondence and surveys to ensure a successful experience and maintain customer and/or attendee database to build retention.
  • Process events into CivicRec and ensure all events and rentals are properly booked.
  • Serve as a liaison for internal and external stakeholders in the coordination of special events.
  • Assist organizations with the special event permit process including festivals, parades, fun runs, triathlons, bike races, and public events in parks.
