About The Position

Under direct supervision, this role assists Probation Officers in providing probation services. Responsibilities include performing intake procedures for clients, assisting in monitoring probationers' progress, and handling various administrative tasks such as receptionist duties, typing, word processing, data entry, record keeping, filing, and billing. The position also involves acting as a receptionist, screening visitors and calls, providing information about department activities, and managing the activities and programs of the Eureka County Juvenile Probation Department. This includes overseeing recreational programs, planning and organizing work for contractors, and managing grant programs and their facilitators. In limited circumstances, the role may involve accompanying officers into the field for client checks, transportation, address verification, and home environment evaluations. Additionally, the position requires collecting samples for testing, maintaining grant records, and representing the County with dignity and integrity.

Requirements

  • High School diploma/GED
  • One (1) year of administrative support experience is preferred.
  • Knowledge of practices and procedures, including filing and the operation of standard office equipment.
  • Knowledge of basic record keeping principles and practices.
  • Knowledge of correct English usage, including spelling, grammar, and punctuation.
  • Knowledge of business arithmetic.
  • Skills in performing detailed office support work.
  • Skills in operating standard office equipment including a word processor or computer terminal.
  • Skills in organizing and maintaining accurate files and records.
  • Skills in providing factual information both in person and on the telephone.
  • Skills in establishing and maintaining working relationships with staff and the public.
  • Accurately type at a rate sufficient to perform assigned duties.

Responsibilities

  • Assists Probation Officer in providing probation services by performing intake procedures for clients.
  • Assists monitoring probationers’ progress.
  • Acts as receptionist, receives and screens visitors and telephone calls, and takes messages.
  • Greets people visiting the office and provides factual information regarding department or program activities and functions.
  • Manages the activities and programs of the Eureka County Juvenile Probation Department, overseeing at least eleven different recreational programs.
  • Plans and organizes work to be done by contractors; schedules and coordinates activities of contractors.
  • Types correspondence, reports, forms, newsletters, and specialized documents.
  • Composes standard correspondence from brief instructions.
  • Assembles monthly reports or newsletters.
  • Checks typed and other materials for accuracy, completeness, compliance with departmental policies and applicable regulations, and corrects English usage.
  • Enters, edits, retrieves data, and prepares periodic or special reports from computer systems.
  • Creates reports, spreadsheets, and other formats using programmed software.
  • Prepares and updates a variety of records, forms, and reports, which require the use of arithmetic calculations and consolidation of materials from several sources.
  • Maintains, records, and processes forms, such as work orders, vouchers, billings, and other documents specific to the department.
  • Establishes and maintains office files; researches and compiles information from files; purges files as required.
  • Maintains department specific library; indexes documents; microfilms documents.
  • Maintains calendar of appointments and events; assists in planning and organizing meetings and special events.
  • Compiles materials for meetings; may prepare agendas and attend such meetings to take summary notes.
  • Opens and distributes mail; processes outgoing mail; posts and distributes notices, flyers, and bulletins.
  • Performs other general office support services.
  • Maintains all grant records and data.
  • Oversees the different grant programs and their facilitators.
  • Under limited circumstances, may accompany officers into the field to check on the location of clients, assist in transportation of clients, verify addresses and assist with evaluating home environments for risk factors.
  • Collects samples for the purpose of testing, which includes but is not limited to urine; follows specific procedures to preserve the chain of evidence.
  • Represents the County with dignity, integrity, and a spirit of cooperation in all relationships with staff and the public.
