About The Position

This position involves interpreting documents, selecting appropriate codes for the Justice Management System, docketing pleadings, testifying in court, conforming documents, answering phone calls, assisting in courtroom with juvenile pleas, issuing services such as citations and summonses, administratively closing completed cases, interacting daily with judges and the probation department, and performing data entry for incoming transfer cases. The role requires monitoring and tracking individual cases from filing to disposition, processing dispositions, recognizing and sealing documents as ordered by the court, preparing documents for imaging, initiating efficient procedures for case processing and docketing, processing motions and orders, and issuing subpoenas. The clerk will also attend and assist the court with juvenile pleas, act as a liaison between various parties, and serve as the official custodian of records. Additionally, the position involves ensuring cases are properly prepared for court, pulling files, preparing juvenile CR-43J forms, researching files, and performing other duties as requested by the District Clerk.

Requirements

  • High school diploma or equivalent required.
  • Computer data entry experience required.
  • Customer service experience required.
  • Knowledge of Microsoft Word, Excel, and other Microsoft Office programs.
  • Knowledge of modern office equipment and filing systems.
  • Knowledge of English grammar, spelling, and punctuation.
  • Ability to type or keyboard data entry at a rate of 45 net words per minute.
  • Knowledge and skills to perform basic math principles.
  • Ability to establish and maintain effective working relationships with co-workers and the public.
  • Ability to prioritize tasks to be performed.
  • Ability to work independently in the absence of supervision.
  • Ability to respond appropriately and professionally to requests and inquiries from the general public and courthouse personnel.
  • Ability to communicate verbally and in writing.
  • Ability to interpret and apply laws, rules, regulations and procedures applicable to job duties assigned.
  • Ability to read and understand manuals, instructions and documents.
  • Ability to analyze various situations and determine best solution within authority delegated.

Responsibilities

  • Interpret documents to select the most appropriate code for entry into the Justice Management System.
  • Docket all pleadings on the computer.
  • Testify in court as the official custodian of record.
  • Conform documents.
  • Answer phone calls.
  • Assist in courtroom with juvenile pleas.
  • Issue services including citations, summonses, and other documents.
  • Administratively close completed cases.
  • Interact daily with judges and probation department.
  • Perform data entry on incoming transfer cases.
  • Monitor, track and perform extensive data entry of each individual case from filing to disposition and beyond.
  • Process dispositions of cases, including entering disposition code, and mailing various forms.
  • Recognize documents that are sealed by statute.
  • Seal documents and files as ordered by the court.
  • Perform data entry for court documents and prepare for imaging.
  • Initiate efficient procedures for processing and docketing cases.
  • Process motions and orders, including file marking documents, entering into the computer, obtaining judge’s signature, and sending copies to the attorney, defendant, and probation department.
  • Process dispositions of cases, including closing out file once plea has been heard or judgment received, sending certified copies of the judgment or commitment papers to the Criminal District Attorney’s office, probation department, submitting payment of court appointed attorney to County Auditor, and entering disposition information in the computer.
  • Docket incoming transfer cases; number all documents.
  • Issue subpoenas, including receiving state or defense applications for subpoenas, preparing and sending subpoenas to the sheriff or private process server, and entering into the computer.
  • Attend and assist the court with juvenile pleas.
  • Act as liaison between district clerk, judge, attorneys, court personnel and all other interested parties.
  • Ensure each case is properly prepared for court.
  • Pull files for announcements, appearances, and juvenile pleadings.
  • Prepare juvenile CR-43J forms for Department of Public Safety to be submitted online.
  • Research files.
  • Perform other duties as requested by the District Clerk.
