About The Position

We are seeking a detail-oriented and organized Travel Coordinator and Junior Analyst to support our team. The ideal candidate will have a Secret security clearance, experience with APACS, and knowledge of Foreign Military Sales (FMS). The role involves coordinating team travel, managing schedules, creating meeting minutes, supporting the Foreign Liaison Officer, ensuring contractors complete necessary training, support for in-person meeting coordination in the Washington, D.C. area, and providing general team support. Less than 10% travel may be required.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • 1-3 years of experience in a similar role.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to work well both independently and in a team environment.
  • Demonstrated ability to be proactive, creative, and innovative and use critical and strategic thinking.
  • Active Secret security clearance required.

Nice To Haves

  • Experience working in a defense or government contracting environment.
  • Familiarity with DoD travel regulations and processes.
  • Knowledge of Foreign Military Sales (FMS) processes.
  • Knowledge of program management and milestone tracking.
  • Ability to sit for extended periods.
  • Manual dexterity for computer use.
  • Occasional lifting of up to 10 pounds.

Responsibilities

  • Submit necessary documents for DoD-sponsored contractors and civilians to conduct business trips for FMS Case(s).
  • Ensure all travel-related documentation is accurate and complies with DoD regulations.
  • Submit Requests for Visit (RFV).
  • Assist subcontractors with RFV submission and advise on content and lead times.
  • Provide weekly updates to the team calendar for integration into the master schedule.
  • Help track key program milestones and ensure timely updates.
  • Create meeting minutes and track key action items.
  • Ensure all meeting documentation is organized and readily accessible.
  • Coordinate and assist with in-person meetings in the Washington, D.C. area.
  • Review, mark, and process documents as needed.
  • Maintain trackers to ensure contractors complete necessary company and DoD training.
  • Handle controlled unclassified information, correspondence, and communications, and perform other coordinated tasks.
  • Assist with tracking action items from meetings and ensuring follow-through.
  • Perform action item reviews with foreign customer.
  • Perform various administrative tasks to support team operations.
  • Assist in the preparation of reports, presentations, and other documentation as needed.
  • Maintain a thorough travel process brief that details Government of Canada (GoC) and U.S. travel requirements, lead times, resources, and cites relevant policy.
  • Act as Day One Coordinator and I-9 Certifier for new hires.
  • Maintain a comprehensive onboarding brief for new team members.
